Job Summary
We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! This vital role ensures the smooth operation of daily office functions. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills.
Supports daily administrative operations, ensuring a functional and organized office environment. Bookkeeping responsibilities to include entering supplier/subcontractor invoices into the accounting system and invoicing customers (AIA/G702). Office responsibilities include managing front-desk reception, ordering supplies, handling mail, and providing administrative support to staff under the guidance of the Office Manager.
Duties
- Front Desk Reception: Greet visitors, handle incoming/outgoing mail, and courier services.
- Office Operations: Order office supplies and maintain inventory.
- Administrative Support: Answering phone calls, managing emails, and scheduling meetings as needed.
- Data and Documentation: Maintain physical and digital filing system, update records, and create reports.
- Bookkeeping Assistance: Entering supplier and subcontractor invoices, invoicing customers, and entering credit card receipts.
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace tools
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Previous office experience or clerical background is preferred, but not required
- Strong typing skills with attention to detail for data entry and proofreading tasks
- Effective time management skills to handle multiple responsibilities efficiently
Minimum pay is $20 per hour. Pay depends on experience.
