Trac-Work, Inc. is a well established railroad track construction company. We have been in business since 1968. The headquarters are located in Ennis, TX. We have 14 offices in 7 states. Our Broken Arrow, OK office is currently seeking an office manager. Position Summary: Provide administrative and clerical support to Area Manager and Superintendent. Majority of the time, Office Manager is the only person in the construction office; therefore, employee must be dependable.

Pay Range: $16-$18 per hour

Essential Functions:

1. General Office

  • A. Answer telephones
  • B. Type all correspondence
  • C. Open and distribute mail
  • D. Maintain office supplies and forms.
  • E. Maintain job, accounts payable, safety and employee files.

2. Process weekly reports and transmit them to the Corporate office via computer.

  • A. Payroll
  • B. Equipment Usage.
  • C. Cash in bank account

3. Process monthly reports and submit them to the Corporate office.

  • A. Inventory Activity
  • B. Safety Reports
  • C. Advance Summary

4. Produce all customer invoicing and ensure proper distribution of all copies.

5. Stamp all vendor invoices for proper coding and approval by the Area Manager. After approval obtained, make copies for job files and send originals to Corporate office.

6. Maintain an area checking account. This includes writing checks, recording the checks on the weekly report, and reconciling the account each month.

7. Maintain and reconcile advance money accounts for the office.

8. Provide customer service support.

9. Process all applications for employment. Ensure that all paper work is completed and copies distributed as required. Ensure that all printed information for new hires has been given to new employees.

10. Ensure that contact can be made with Area Manager and Superintendent at all times. Provide dispatching support in the case of customer emergencies.

11. Complete all reports associated with on the job accidents and injuries. Distribute copies as required.

12. Interface with insurance company in order to obtain insurance certificates for customers.

13. Attend annual meetings at the Corporate office.

14. Attend annual CPR class locally.

Other Responsibilities:

1. Perform other work related duties as assigned.

Required Skills:

1. Ability to be on job on time, with minimal absences.

2. The ability to maintain complete organization and prioritize work to meet deadlines.

3. The ability to communicate effectively with all levels of personnel, as well as with customers and other outside contacts.

4. Basic administrative and clerical skills

  • A. Ability to type and use a personal computer keyboard efficiently.
  • B. Ability to operate a calculator, copy machine, FAX machine, and telephone equipment.
  • C. Good mathematical and grammatical skills.5. Basic understanding of personal computers, printers, and spreadsheet and word processing applications.

Job Type: Full-time

Pay: $16.00 - $18.00 per hour
