TQI Solutions is seeking a proactive and resourceful Executive Assistant/Office Coordinator to support our Honolulu office and leadership team. This individual will be the first point of contact for visitors and staff, ensuring smooth day-to-day operations while providing high-level administrative support. The ideal candidate is a self-starter with strong organizational skills, excellent judgment, and the ability to anticipate needs before they arise.
Responsibilities:
- Provide administrative support to leadership, including calendar management, travel coordination, meeting preparation.
- Oversee office operations such as ordering supplies, managing vendors, and ensuring a professional, welcoming environment.
- Manage paperwork and submissions for badging and base access requirements.
- Prepare job requisitions, coordinate onboarding for new hires, and ensure new employees have the tools and access needed for a smooth transition.
- Develop and maintain efficient office and administrative processes, ensuring compliance with company policies.
- Serve as a key point of contact between local employees and Corporate HQ, facilitating communication and resolving issues as needed.
- Assist in planning and executing meetings, team events, and company functions.
- Anticipate needs, identify issues, and proactively develop solutions to keep operations running smoothly.
- Partner with HR, Operations, and IT teams to support organizational initiatives.
This is a full time, salaried, exempt position. Salary $55K - $65K DOE.
Requirements:
- Associate’s degree or equivalent experience required.
- 3 years in administrative, executive support, or office coordination roles.
- Prior military experience preferred.
- Proficiency with Microsoft Office Suite and collaboration tools.
- Exceptional organizational and time management abilities.
- Strong written and verbal communication skills.
- Ability to work independently, take initiative, and prioritize in a fast-paced environment.
- Professional, polished presence with customer service mindset.
- Ability to obtain/maintain a government granted security clearance preferred.
