Position Overview:
The Project Administration Coordinator III provides comprehensive administrative and coordination support to large-scale pipeline construction projects. This role supports an office of project managers, engineers, and technical staff, ensuring efficient day-to-day operations, strong communication, and effective coordination across project teams. The position requires a high level of organization, independence, and adaptability to meet changing project demands throughout the construction lifecycle.
Key Responsibilities
Project & Administrative Support
- Provide administrative support to an office of up to 30 staff, including project managers, engineers, and project controls personnel.
- Support large-scale projects related to major pipeline construction initiatives.
- Work independently with limited direction while managing multiple priorities.
Office & Facility Management
- Manage office supplies, including inventory control, ordering, and usage tracking.
- Open the office daily at 7:30 AM and support standard 8-hour workdays, with flexibility to work up to 10-hour days during peak construction periods.
- Prepare offices and conference rooms for meetings, ensuring cleanliness and readiness, including arranging refreshments as needed.
- Oversee contracted janitorial and maintenance services to ensure office standards are maintained.
Document Control & Project Closeout
- Assist the Document Controls team with project closeout documentation and deliverables.
- Support filing, tracking, and organization of project records in accordance with company procedures.
Meetings, Communication & Coordination
- Coordinate internal and external meetings using Microsoft Outlook calendars.
- Prepare and distribute meeting agendas, facilitate project update communications, and record detailed meeting minutes.
- Support coordination of office events, project meetings, and team activities.
Reporting & Presentation Support
- Assist with the development and formatting of presentations for internal leadership and external stakeholders.
- Compile and organize project-related information to support reporting and communication needs.
General Duties
- Adapt daily responsibilities based on seasonal construction activity and evolving project requirements.
- Maintain professionalism and strong working relationships across multidisciplinary teams.
