Job Summary:
The Document Control Assistant III provides comprehensive administrative and document management support to Project Managers and Engineering teams for natural gas utility projects. This role ensures all project documentation is organized, reviewed, and maintained in compliance with company standards and project requirements using systems such as ProjectWise, Unifier, and SAP.
Key Responsibilities:
- Support Project Managers with administrative and document control duties across multiple projects.
- Attend project meetings, prepare and distribute meeting minutes through Unifier, and ensure accurate recordkeeping.
- Set up project events, team meetings, and maintain project contact lists.
- Assist in preparing presentations, bid packages, and participate in bid evaluations.
- Collect and organize documentation for Project Gate Reviews (1–5) and provide updates during Gate Review Meetings.
- Update Weekly Operating Reviews, goal tracking sheets, and risk registers in Unifier.
- Request and manage project folders in ProjectWise and project shells in Unifier, ensuring appropriate access for team members.
- Track project permits, material status, and assist with invoice reviews.
- Manage and review project submittals, transmittals, RFI, and PCN logs to ensure timely and complete responses.
- Create and transmit Construction Document Sets to contractors; review AFC drawing packages for completeness.
- Conduct project documentation audits, track redlines, and ensure all project forms and pressure test documentation are completed and submitted to engineering and compliance.
- File, maintain, and control all project-related documents per company standards and best practices.
- Ensure proper metadata and attributes are applied to all records in ProjectWise.
- Request closure of Purchase Orders and assist with Work Order completion documentation.
- Maintain and update the Project Playbook to reflect current project information.
Skills and Qualifications:
- Minimum 3 years of document control or project administration experience (natural gas utility project experience preferred).
- Proficient in document control software such as ProjectWise and Unifier.
- Experience with SAP preferred.
- Strong organizational skills to manage multiple projects simultaneously.
- Excellent communication skills and attention to detail.
- Ability to work independently and collaboratively with cross-functional teams.
- Proficient with MS Office Suite (Excel, Word, PowerPoint).
Education:
- Required: High School Diploma or equivalent.
- Preferred: Some college coursework or associate degree.
Additional Information:
- May require lifting or carrying loads between 5–35 lbs.
- Hybrid work arrangement – must be available for periodic site visits across Michigan.
- Overtime may be required based on project needs.
- Remote work must comply with company-approved work states.
