Hotel Indigo Traverse City is seeking an organized and professional Hotel Sales & Office Coordinator to support group sales, reservations, billing, and general hotel administration. This on-site position serves as a key point of contact for group clients and works closely with the General Manager, Accounting/HR office, sales team, and hotel operations.

Key Responsibilities
- Respond to group inquiries and provide timely, professional follow-up.
- Create and manage group room blocks, reservations, rooming lists, rates, and special requests.
- Monitor group pickup, cutoff dates, deposits, and payment deadlines.
- Coordinate group billing instructions, charge routing, invoices, and final payments.
- Research and resolve billing questions or discrepancies.
- Maintain accurate group files, client correspondence, and reservation records.
- Provide basic administrative support to the General Manager, Accounting/HR office, and executive team.
- Assist with reports, spreadsheets, filing, data entry, correspondence, and special projects.
- Communicate group details and changes to the appropriate hotel departments.
- Previous experience using a hotel property management system is required.
- Experience with hotel reservations, group sales, billing, front office operations, or administrative support is preferred.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Strong organizational, communication, and customer-service skills.
- Excellent accuracy and attention to detail.
- Ability to work independently, manage multiple priorities, and meet deadlines.
- Professional demeanor and discretion when handling confidential guest, employee, and financial information.
- High school diploma or equivalent required.
