Clinical Coordinator Job Description
Position: Clinical Coordinator
Reports To: Regional Director of Clinical Coordinator
Position Summary:
The Clinical Coordinator provides a wide range of confidential administrative and operational support to the Regional Director of Programming. This role serves as a liaison between the Director, clinical staff, behavioral health teams, and internal departments across TPC Wellness. The position plays a key role in coordinating and support for providers to meet service goals, efficient client care and staff workflow. Office activities, supporting provider productivity, and maintaining efficient patient and staff workflows. The Administrative Coordinator is responsible for handling sensitive information with discretion, managing prior authorization, compliance requirements and electronic health record processes.

Job Duties:
- Committed to TPC Wellness mission and vision
- Provide administrative and operational support to ensure smooth daily function.
- Manage prior authorization process
- Monitoring weekly service goals for each provider
- Coordinates enrolment, insurance verifications and maintaining discharge of clients as needed.
- Monitors client intake, assessments, and ongoing referrals
- Manages ongoing insurance verification
- Audits clinical files for compliance and alerts director with discrepancies
- Excellent customer service to corporate team, customer service via telephone, in person inquiries, and email in a professional manner
- Supports performance improvement initiatives
- Coordinates clinical medical record request as needed
- Maintain and track timelines for clinical staff evaluations
- Facilitate communications with external stakeholders, clients and referrals as directed
- Provides team orientation and training as needed
- Monitors provider schedules and client services to enhance clinical efficiency
- Ensure client data and changes are accurately reported to appropriate entities, track clinical outcomes and program metrics
- Maintain strict confidentiality in accordance with HIPAA regulations and organizational policy
- Managing multiple priorities and maintaining attention to detail
- Analyzing situations, identifying problems, and implementing effective solutions per director of programming
- Exercising discretion and independent judgment
- Written and verbal communication, including editing and preparing professional documents
- Maintains all required trainings, including trauma informed care and crisis intervention.
Minimum Qualifications:
Experience
- 2-5 years previous experience in behavioral health or business setting.
- Excellent in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- 2-5 year's experience with electronic health record systems.
- Strong written and verbal communication skills.

Education Required
- Associate's degree or equivalent work experience.
