Job Summary
The role of Administrative Assistant for Activities, Athletics, and Human Resources provides comprehensive administrative support to the Director of Activities/Athletics and is responsible for coordinating key operational functions related to facility rentals, student and staff onboarding, and recognition programs. This role also serves as a liaison for managing student teaching and internship placements, ensuring a smooth and efficient process across departments.
Qualifications
- Administrative or HR support experience, preferably in an educational or public sector setting.
- Demonstrated ability to manage multiple priorities, projects and deadlines with a high degree of accuracy.
- Proficient in Microsoft Office Suite, Google platforms, and data entry systems.
- Strong communication, organizational, and customer service skills.
- Demonstrated typing, word processing, and general office skills
- Evidence of good judgement, trustworthiness, flexibility, and emotional maturity
- Leadership capabilities and self-direction
- Provide day-to-day administrative assistance to the Director of Activities/Athletics, including scheduling, communications, and documentation support.
- Facilitate job requisitions, postings, and onboarding procedures for individuals supporting activities, athletics, and miscellaneous roles, including student teachers, non-paid interns, out-of-district coaches/sponsors, volunteers, and agency staff.
- Manage the District 211 facility rental process, including scheduling, application review, billing coordination, and communication with external and internal stakeholders.
- Coordinate and prepare materials for Board of Education recognitions of students and staff, including collecting nominations, preparing documentation, and communicating with school leaders and families.
- Oversee and coordinate the process for student teaching placements and non-paid internships, serving as the primary contact for universities, cooperating staff, and HR to ensure required documentation and clearances are completed.
- Oversee and assist in supporting the onboarding and processing of substitute teachers
- Other duties as assigned
- Frequent interruptions and shifting priorities.
- Requires sitting for extended periods, with occasional lifting of materials (up to 30 lbs).
- High level of interaction with staff and community members
