Overview
We are seeking a dynamic and organized Office Support professional to join our team! Duties
- Using excellent customer service skills; establishes and maintains effective working relationships with other employees, officials, and members of the public.
- Assist the public with business pertaining to the Town by answering the phones, assisting customers at the counter, and responding to email inquiries. Processes front counter payments and incoming/outgoing mail.
- Assists gathering information and assembling board packets, agenda posting, and room organization to prepare for meetings.
- Provides information to inquiries from the public, and outside agencies, or refers to an appropriate person or agency.
- Assists the Clerk-Treasurer in finance needs such as entering in bills to pay or sending out invoices using the Workhorse System
- Assist with calendar management, scheduling appointments, meetings, and coordinating office events
- Perform data entry and proofreading tasks to ensure accuracy in reports, correspondence, and documentation
- Provide customer support by addressing inquiries promptly and professionally via phone or email
- Handle clerical duties such as photocopying, faxing, scanning documents, and maintaining office supplies
- Assist with the management of Town records, including scanning, indexing, and filing documents according to the Wisconsin municipal general records retention schedule.
Qualifications
- Proven experience in office management or administrative support roles with a focus on clerical tasks for 1-3 years
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Workhorse
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Exceptional phone etiquette and communication skills; bilingual abilities are a plus for client interactions
- Demonstrated ability to handle confidential information discreetly and responsibly
- Previous experience working at a front desk or as a personal assistant is highly desirable
- Strong typing skills with attention to detail for proofreading and data entry tasks
- Ability to manage multiple responsibilities simultaneously while maintaining a positive attitude
