Overview
The Tamworth Police Department is seeking a dependable, highly organized professional to serve as a Administrative Assistant working directly for the Chief of Police. This position is critical to the daily operations, records management, and administrative coordination of the department.
The ideal candidate is detail-oriented, comfortable working with confidential information, able to work independently, and experienced with modern office systems and police records software.
Position Summary
Performs a variety of clerical and administrative tasks in support of the Chief of Police, exercising independent judgment in prioritizing work and selecting appropriate actions within established procedures and guidelines.
Essential Duties & Responsibilities
- Coordinate daily administrative functions of the Police Department
- Maintain case number files, central name files, arrest field cards, and permanent records
- Prepare required Federal and State statistical reporting (NIBRS)
- Receive and route incoming phone calls and public inquiries
- Maintain files and correspondence for the Chief of Police (excluding confidential files)
- Maintain current records of names, addresses, and contact information
- Assist with coordinating, record keeping, and billing for third-party police details
- Maintain accounts payable and receivable records
- Prepare copies of police reports for insurance companies
- Enter and file court dispositions
- Prepare Pistol Permit Licenses for applicants
- Coordinate office supply purchases and general office needs
- Serve as the department’s TAC (Terminal Agency Coordinator) for CJIS compliance
Required Skills & Knowledge
Applicants must demonstrate proficiency or working knowledge in:
- Microsoft Office Applications
- Strong general computer skills
- IMC / RMS Police Records System
- NIBRS reporting
- NCIC
- CJIS
- SPOTS
Minimum Qualifications
- Associate degree in administration, management, or related field OR
- Three (3) years of experience in a professional business/office environment
- Equivalent combinations of education, training, and experience will be considered
- Preference given to candidates with prior law enforcement, records, or municipal office experience
- Must be able to pass a background investigation, including no history of conduct that would indicate poor judgment or moral turpitude

- Knowledge of modern office procedures, computerized systems, and basic accounting
- Ability to handle confidential and sensitive information with discretion
- Strong communication and interpersonal skills
- Exceptional attention to detail and accuracy
- Ability to work independently, prioritize tasks, and follow written and oral instructions
- Ability to compose correspondence, maintain organized records, and respond to inquiries professionally

Work Environment & Physical Requirements
Work is performed primarily in an office setting. Duties require sitting, standing, walking, reaching, and occasional lifting of up to 25 pounds.
