Deputy Clerk / Deputy Treasurer / Registrar / Tax Collector
Full-Time Position
The Town of Sumner is seeking a qualified, detail-oriented, and customer-focused individual to serve as Deputy Clerk / Deputy Treasurer / Registrar / Tax Collector. This is a full-time position (35–40 hours per week) that plays a vital role in the daily operations of Town government.
Position Overview
This position performs a variety of routine and complex clerical, administrative, and fiscal duties related to the recording and retention of official Town records, municipal finance functions, elections, and public services. The Deputy works closely with the Town Clerk /Treasurer /Registrar/ Tax collector and provides direct assistance to residents, state agencies, and boards and committees.
Key Responsibilities
Clerk & Registrar Duties
- Assist residents with motor vehicle registrations, vital records, hunting and fishing licenses, and other municipal services
- Record, file, and maintain official Town documents and records
- Provide professional customer service in person, by phone, and via email
- Assist with elections, town meetings, and other official proceedings
- Serve as Secretary to the Select Board and Planning Board
- Support daily operations of the Town Clerk’s Office and provide coverage in the Clerk’s absence
Treasurer, Tax & Fiscal Duties
- Perform accounts payable and accounts receivable functions
- Handle Town funds and process financial transactions accurately
- Collect and process property taxes and other municipal payments
- Assist with account reconciliations and financial recordkeeping
- Interact extensively with the public regarding payments and inquiries
Additional Responsibilities
- Work closely with code officer, organize and keep building and code enforcement documentation
- Update website as needed
- Serve as General Assistance Coordinator
- Maintain confidentiality of sensitive records and information
- Work collaboratively with other staff, boards, and state agencies
Qualifications
- High school diploma or equivalent required; additional clerical or municipal experience preferred
- Strong attention to detail, accuracy, and organization
- Excellent communication, customer service, and interpersonal skills
- Ability to handle multiple tasks in a timely and professional manner
- Working knowledge of basic mathematical calculations and account reconciliation
- Proficiency in Microsoft Office and general office technology
- Ability to learn specialized municipal software (experience with TRIO software is a plus, but not required)
- Ability to maintain confidentiality and exercise sound judgment
- Must be able to work independently and as part of a team
Additional Requirements
- Must be a Notary Public or able to obtain certification within six (6) months of employment
- Must be able to be bonded
- Willingness to attend required training
- Evening and weekend hours required
