Job Overview
The Executive Assistant performs skilled administrative functions related to the complete and overall operation of the Town Administrator and Select Board’s Office. The Executive Assistant exercises independent judgment and initiative in the planning, administration and execution of the department's services, and in the interpretation and application of laws, regulations and procedures. This position involves dealing with the public with courtesy and respect and solving problems with composure and judgment, independently or with assistance from other departments. The Executive Assistant attends all Select Board meetings and records minutes. This position has access to confidential and sensitive information and must exercise discretion regarding it.
Responsibilities
- Keeps the Town Administrator informed of issues and activities within the scope of the Town Administrator’s office.
- Answers general phone calls coming into the Town Hall as well as any for the Town Administrator, Select Board, Sewer Commissioners and Rent Control Board.
- Provides customer service to town officials, employees and volunteer staff, governmental representatives, and the public.
- Assists the Town Administrator with special projects, planning functions, events and informational materials.
- Prepares Select Board Meetings; prepares agenda, posts meeting within legal time frame, coordinates with local cable access, prepares Select Board member’s meeting binders with appropriate information and documentation needing to be signed, including abutter’s notices, scheduling public hearings and processing abatement requests.
- Attends and responsible for facilitating virtual attendance via Zoom during all Select Board and Sewer Commissioner meetings. Attends all executive sessions and records minutes for approval at subsequent meetings.
- Prepares a “to-do” list of follow up items from the Select Board meeting and completes required correspondence and tasks as needed.
- Provides administrative support to the Board of Selectmen, the boards under its jurisdiction, and appointed boards and town departments as directed by the Town Administrator.
- Prepares agendas and records minutes for the Town Administrator’s departmental meetings and other meetings as required.
- Coordinates and prepares the Annual Town Report in collaboration with all town departments, boards, and committees; submits the final report to the Board of Selectmen for approval and arranges printing and delivery for distribution at the Annual Town Meeting.
- Serves as the central coordinator for Town Meeting Warrants by compiling articles, ensuring timely submission to the Town Clerk, Accountant, Finance Committee, and Town Counsel for review, and manages the production and distribution of approved warrants for all Town Meetings.
Qualifications
- Associate Degree in Business Administration, Finance, or related field preferred.
- Three to five years of administrative experience working for senior management; or any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job.
- Experience in a Municipal or Governmental environment preferred.

Pay: $57,000.00 - $63,000.00 per year
