Position Summary
The Administrative Assistant to the Board of Selectmen serves as part-time administrative and clerical support to the Board of Selectmen and assists in the efficient operation of the Selectmen's Office. The position works collaboratively with the Executive Assistant to the Board of Selectmen to ensure the effective administration of Board functions, public communications, records management, meeting preparation, and day-to-day office operations.
The Administrative Assistant performs a variety of administrative, clerical, and record-keeping duties while supporting the Board in carrying out its responsibilities under Massachusetts General Laws and local bylaws. The position requires professionalism, strong organizational skills, attention to detail, and the ability to handle sensitive information with discretion and confidentiality.
Working under the general direction of the Board of Selectmen and in coordination with the Executive Assistant, the Administrative Assistant helps maintain continuity of operations, provide excellent customer service to residents and stakeholders, and support the efficient delivery of municipal services.
Essential Duties and Responsibilities

- Work collaboratively with the Executive Assistant to coordinate Board activities, maintain records, assist with meeting preparation, and ensure continuity of office operations and public service delivery.
- Attend Board of Selectmen meetings and prepare accurate meeting minutes in compliance with the Massachusetts Open Meeting Law.
- Prepare notices, correspondence, reports, and other official documents as directed by the Board.
- Receive and respond to telephone calls, emails, and inquiries from residents, businesses, state agencies, vendors, and other municipal departments.
- Maintain official Board records, files, and archives.
- Process accounts payable warrants and related documentation for Board review and approval.
- Assist with licensing and permit administration as assigned.
- Coordinate public hearing notices, legal advertisements, and meeting postings.
- Prepare routine reports, letters, and informational materials.
- Provide administrative support for special projects, town meetings, elections, and other municipal functions as assigned.
- Perform other related clerical and administrative duties as required.
Confidentiality
This position requires a high degree of confidentiality and professional discretion. The Administrative Assistant may be exposed to confidential information relating to personnel matters, labor negotiations, contract discussions, executive session proceedings, legal matters, and other sensitive municipal business. The employee is expected to maintain strict confidentiality and comply with all applicable laws, policies, and ethical standards governing municipal operations.
Qualifications
- High school diploma or equivalent required; associate degree or higher preferred.
- Prior experience in municipal government, office administration, customer service, or related clerical work preferred.
- Proficiency in Microsoft Office applications, email, and general office technology.
- Prior bookkeeping experience preferred.
- Strong written and verbal communication skills.
- Ability to maintain accurate records and prepare clear and concise correspondence.
- Ability to interact professionally with elected officials, employees, residents, and the public.
- Ability to manage multiple tasks and meet deadlines with minimal supervision.
Hours and Compensation
This is a part-time position working up to nineteen (19) hours per week. Work hours will include attendance at evening meetings of the Board of Selectmen. Compensation shall be established by the Board of Selectmen and shall be subject to annual Town Meeting appropriation. For Fiscal Year 2027, the salary range for this position shall be $24,000.00 to $26,000.00 annually, commensurate with the qualifications and experience of the successful candidate.
