Position Purpose
The Administrative Coordinator for Treasury and Collections performs complex administrative work and is responsible for the collection and recording of payments for real estate, personal property, motor vehicle excise, water and sewer, trash, and all other miscellaneous revenues for the Town of Monson. This role involves managing financial records, assisting with tax collection, handling customer inquiries, and performing various administrative tasks.
Essential Functions
Collects and records payments for various taxes and fees. Handles customer inquiries regarding tax payments, collections, and other financial matters in a professional and courteous manner.
Performs administrative support duties pertaining to highly confidential and sensitive information; assists with accomplishing office administrative duties related to collections including preparing documents, spreadsheets and databases and screening phone calls and mail.
Balances daily work and cash drawer, run reports, and prepares and deposits funds. Performs administrative tasks as required to support the Treasurer/Collector’s office.
Maintains accurate records and handles sensitive financial information. Assists in the preparation, processing, and reconciliation of financial documents, including invoices, tax bills, and payment receipts.
Supports the tax collection process by processing payments, maintaining accurate records, and ensuring all transactions are accurately recorded in the system and in compliance with local and state regulations.
Maintains accurate records of all tax payments and ensures timely follow-up on delinquent accounts.
Assists in the preparation and distribution of tax bills, reminders, and notices to ensure compliance with local and state regulations.
Assists with special projects as assigned by the Treasurer/Collections Manager, including tax title and deed research, data analysis, and process improvement initiatives.
Performs similar or related work as required, directed, or situation dictates. Regular attendance at the workplace is required.
Supervision
Works under the general supervision and direction of the Treasurer/Collector or designee.
Job Environment
Work is performed in an office environment with frequent interruptions. Uses standard office equipment including a computer, telephone, and adding machine. Frequent contact with the public, vendors, and other town departments. Contacts are in person, in writing, and by telephone and involve information exchange dialogue. Has access to department related confidential information.
Recommended Minimum Qualifications
Education and Experience: Associate degree in finance, business administration or related field. Three years of progressively responsible office experience and experience in bookkeeping/accounting; or any equivalent combination of education, training, and experience. Cash handling and customer service experience are essential.
Additional Requirements
Ability to be bonded. Valid Class D Motor Vehicle License.
Knowledge, Ability and Skill
Knowledge: Working knowledge of office procedures and bookkeeping/accounting practices. Understanding of municipal tax collection processes.
Ability: Ability to communicate effectively, both verbally, via phone, e-mail and in writing with co-workers, the public, elected officials, board members, town departments and outside agencies. Ability to organize time and to work independently and accomplish tasks. Ability to maintain detailed statistics, records, and clerical records. Ability to deal effectively and tactfully with the public. Ability to maintain confidential information.
Skill: Excellent communication skills. Administrative skills in utilizing computers, office software applications. Interpersonal skills including attention to detail and strong organizational skills. Strong customer service skills are essential.
Physical Requirements
Minimal physical effort required. Tasks involve prolonged periods of sitting, occasional standing, and walking. Occasionally required to lift/move objects weighing up to 20 pounds. Requires the ability to operate a computer and standard office equipment.
