POSITION TITLE: ** Office Assistant - Part Time

DEPARTMENT: Department of Public Works

DIRECT REPORT: Director of Public Works

NON UNION: 19.5 hours per week

JOB SUMMARY

Primary Function:

Performs advanced secretarial and clerical duties for the Department of Public Works. Greets public in person and on the telephone, provides general information, answers questions and directs individuals to appropriate party as necessary. Performs general secretarial and clerical duties, including typing, copying and filing correspondence, memos, letters, and other responsibilities as designated by supervisor.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Reviews documents to ensure they are complete and accurate
  • Creates new files, enters and updates information into computer
  • Schedules appointments and works as designated
  • Orders and maintains adequate inventory of supplies
  • Performs monthly statistics for public works department and finance
  • Prepares monthly and quarterly building reports, as required
  • Accepts complaints from the general public and takes appropriate corrective action
  • Provide service to the public as part of the department of public works
  • Performs other related duties, as required

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of general office practices
  • General bookkeeping and accounting skills and procedures
  • Knowledgeable about construction industry
  • Effectively assist the public; prepare records, reports and correspondence neatly and professionally
  • Operate a variety of office machines, including copier, fax machine, calculator and computer using standard word processing, spreadsheet and data inquiry software, and type accurately
  • Establish and maintain effective working relationships with co-workers and the general public
  • Ability to utilize correct oral and written skills
  • Maintain records and files with precision and accuracy

ACCEPTABLE EXPERIENCE AND TRAINING

High school graduate, or equivalent, plus at least three years of clerical or secretarial experience (construction background desired); or any equivalent combination of experience and training that provides the required knowledge, skills and abilities.

WORK ENVIRONMENT

Work is generally performed while sitting or standing in a construction style office environment. Some lifting of small equipment and forms is required. This position does not require heavy lifting on a regular basis; however, when working with the records retention archives, the individual may be required to lift boxes of approximately 20 pounds. Work environment may be subject to changing climate conditions.

Pay: $17.50 - $20.00 per hour

Expected hours: 19.5 per week
