Job DescriptionNATURE OF WORKUnder direct instruction, will be responsible for performing diversified clerical tasks that frequently require judgment in selection and interpretation of data.ESSENTIAL JOB FUNCTIONSProvides clerical support to the department by typing, calculating, inputting data, answering correspondence, collecting fees, and cash from the public.Prepare forms such as purchase requisitions, invoices and vouchers, pay bills, compiles records and reports. May enter the department's payroll, maintain filing and recordkeeping systems, and train other employees.Prepare agendas for meetings, takes and distribute minutes. Maintains inventory of all forms and supplies and procures same as needed.Assist the supervisor in the evaluation of current forms and programs and in coordinating staff meetings; answer telephone, resolve questions, refer those with policy implications to the supervisor.OTHER JOB FUNCTIONSOperate equipment unique to the department. May identify different materials in order to classify and input them correctly into the database system.Performs other duties as required.DESIRABLE KNOWLEDGE, SKILLS AND ABILITIESAbility to exercise caution and tact; sensitive to the needs of clients and the public.Knowledge of clerical and some administrative tasks includes preparing reports, greeting the public, answering questions, and entering data into the computer.Ability to handle cash and negotiable instruments if necessary.Ability to use computer, printer, fax, and copier.Ability to follow general instructions and direction.Knowledge of department and Town practices.Ability to establish and maintain effective working relationships with other employees and the public.PHYSICAL AND MENTAL EFFORT/ENVIRONMENTAL AND WORKING CONDITIONSMust be mobile and able to push, pull, and lift objects less than 20 pounds. Able to sit for prolonged periods. Able to perform manipulative tasks such as writing, collating, using a calculator, and skills which require hand-eye coordination, such as using a typewriter and computer.PHYSICAL AND MENTAL EFFORT/ENVIRONMENTAL AND WORKING CONDITIONSMust be able to see objects closely, as in typing or reading a document. Able to hear normal sounds with background noise, distinguish voice patterns, and communicate through speech, as in using a telephone.Must be able to concentrate on fine details with constant interruption, attend to tasks for 45–60 minutes at a time, and remember multiple assignments given over long periods of time.Must be able to relate to several ideas at a time, understand the concepts behind ideas, and relate to the theories behind related concepts.Ability to work in a professional manner with co-workers, supervisors, customers, and the public at large.May be exposed to dust, fluctuations in inside temperatures and electro-magnetic radiation as in computer screens.MINIMUM TRAINING AND EXPERIENCEGraduation from high school or equivalent plus two (2) years of experience in an office setting performing diversified clerical tasks.THE ABOVE DESCRIPTION IS ILLUSTRATIVE.
