The Town of Lyman is seeking a motivated, detail-oriented individual to join our municipal team as a Zoning & Property Records Assistant. This full-time position provides vital administrative support to the Code Enforcement Officer and Assessing Department by performing a variety of clerical and technical duties related to zoning, permitting, and property records management. Hours are Monday through Friday, 37 hours per week.

Essential Functions
The Zoning & Property Records Assistant plays a key role in facilitating accurate record-keeping, supporting permit processes, and ensuring the public receives timely and helpful information regarding zoning, land use, and property assessments. The successful candidate will assist with research inquiries from citizens and outside agencies, support coordination between departments, and assist with field inspections as needed.
Key responsibilities include:
- Responding to inquiries via phone, email, and in person related to property records, zoning, and land use.
- Assisting citizens with permit applications, site plan reviews, and exemption processes.
- Preparing meeting materials and attending Planning Board meetings.
- Maintaining records, databases, and documentation for zoning, assessing, and permit functions.
- Support annual and cyclical revaluation efforts, including compiling sales data and verifying property characteristics.
- Assist with preparing reports and documentation for the CEO and the Assessor.
- Coordinates scheduling of property inspections for Code Enforcement & Assessing.
- Assists with conducting field inspections to verify property data, including measurements, construction details, and land use.
- Promoting collaboration across municipal departments and ensuring compliance with ordinances and regulations
Qualifications
Ideal candidate qualifications include:
- High School Diploma or equivalent required.
- Associate's degree and 3–5 years of municipal experience preferred.
- Strong communication, organizational, and computer skills (Microsoft Office proficiency required).
- Experience with municipal permitting or assessing systems a plus.
- Ability to interpret ordinances, maintain confidentiality, and work both independently and as part of a team.
- Must hold a valid Maine Driver's License.
Minimum Requirements
High School Diploma, municipal, office, or related experience. Associate degree preferred; 3-5 years of municipal experience preferred; or an equivalent combination of education and experience.
This position is primarily office-based but includes occasional field work in varying weather conditions. Candidates must be comfortable with moderate physical activity, including walking, standing, and lifting up to 25 lbs.
