Job Overview
We are seeking a dedicated and highly organized Town Clerk to serve as a vital link between local government, residents, and various agencies. The Town Clerk will oversee administrative functions, ensure compliance with local and state regulations, and facilitate effective communication within the community. Responsibilities
- Manage and maintain official town records, including minutes of meetings, ordinances, resolutions, public notices, and proclamations in accordance with public meeting laws.
- Attend Council meetings and prepare accurate minutes and official meeting records.
- Prepare and distribute agendas, notices, and minutes for town meetings, ensuring compliance with legal requirements.
- Oversee public permitting processes related to building codes, zoning regulations, business licensing and other local ordinances.
- Serve as custodian of official Town records; administer records management program for current and archival documents.
- Oversee retention and destruction of records according to state archives and records retention schedules.
- Receive and coordinate responses to public records requests in consultation with the Town Manager, Town Attorney, and appropriate departments.
- Maintain and update the Town's official municipal code and coordinate codification of ordinances.
- Serves as the Town's Election Officer and performs duties assigned to the Town Clerk under Arizona election laws.
- Assist residents and stakeholders by providing accurate information on public services, permits, licensing, and regulatory procedures.
- Coordinate with government agencies to ensure compliance with all state and federal laws.
- Prepare correspondence and reports for local government officials and maintains calendars for elected officials.
- Provide administrative support to the Town Manager and other departments as assigned.
Skills
- Excellent customer service skills paired with clear writing skills for report preparation and public communication.
- Demonstrated experience working within government agencies or municipal settings involving regulatory reporting and permit processing.
- Knowledge of local ordinances and state and federal law, in particular Arizona Open Meeting law, public records requirements and election procedures.
- Strong organizational skills with the ability to manage multiple priorities efficiently while maintaining attention to detail.
- Ability to research and follow applicable laws, policies, procedures, and deadlines.
