What are the responsibilities and job description for the Police Records Clerk position at Town of Holden, Massachusetts?
DUTIES*:
· Coordinates the records maintenance and retention program for the department.
· Receives, evaluates, and processes public records requests according to prevailing laws and regulations.
· Prepares weekly payroll, when required, for all Department employees and maintains related payroll records.
· Prepares invoices, when required, for private detail work; maintains related records to ensure payment to appropriate office or personnel.
· Establishes and maintains a variety of personnel records and other confidential files and records related to vacation, holiday, sick time, etc.
· License to carry application, updating address changes and entering new applicants.
SKILLS/EXPERIENCE/TRAINING REQUIRED:
· Duties require knowledge of information technology, office procedures, department-specific laws and regulations, and budget management equivalent to completion of 2 years of college and 3 years of related experience, or an equivalent combination of education, training and experience.
· In-depth knowledge of computerized office management procedures, practices, and equipment. Ability to learn and implement a variety of office and information technology procedures related to department policies, rules, procedures, etc.
· Ability to prioritize tasks and deal effectively with interruptions. Ability to establish work schedules, and oversee completion of tasks in conformance with deadlines and quality standards.
· Ability to communicate clearly and concisely with others, both verbally and in writing. Ability to interact effectively and tactfully with a wide variety of individuals, including internal and external department customers.
· Working knowledge of municipal government and applicable laws relating to accounting and finance.
WORKING CONDITIONS:
· Normal office environment not subject to extremes in temperature, noise, etc.
· Frequent interruptions to assist other department employees and the public in person and on the telephone.
· May spend extended periods at a computer, on the telephone or operating other office equipment requiring eye-hand coordination and finger dexterity.
· Occasional lifting, standing, bending and carrying of files, documents and records.
