The Assistant to the Town Manager’s Office performs a wide variety of complex, confidential, and responsible administrative, analytical, and project management duties in support of the Town Manager’s Office. This position provides professional-level support for executive functions, coordinates special cross-departmental projects, conducts research and analysis, and ensures the smooth and efficient operation of the Town Manager’s Office. Employees in this classification perform highly responsible, professional, technical and administrative work, dealing with delicate, confidential, and sensitive matters on a continuing basis. The role serves as a central point of coordination between the Town Manager’s Office, Town Council, department directors, and the community, supporting the implementation of organizational priorities and constituent service delivery.

Due to the nature of a government providing services to the public all duties of this position are required to be fulfilled at the designated worksite in the town. No remote work is available.

Duties And Responsibilities
- Provides direct administrative support to the Town Manager and Deputy Town Manager, including scheduling, correspondence, travel coordination, and procurement activities. Facilitates the Town Manager’s authorization on various processes requiring town manager signature.
- Manages constituent service requests, responding directly or coordinating departmental follow-up to ensure timely and professional resolution. Includes phone, electronic, written, and in-person communications.
- Prepares reports, presentations, and recommendations for the Town Manager’s Office; conducts research, analysis and benchmarking on organizational or operational issues, as needed. Prepares executive-level correspondence, talking points and briefing materials.
- Prepares and manages the annual budget for the Town Manager’s Office.
- Manages the Town Square signboard application and approval process; maintains schedule.
- Works collaboratively with the Town Clerk’s office in the development of the Council agenda; serves as back up to the Town Clerk’s office for some administrative functions, as needed.
- Leads or supports cross-departmental special projects as assigned.
- Coordinates special events, meetings and intergovernmental relations activities on behalf of the Town Manager’s Office.
- Administrates professional document management and ensures compliance with the Virginia Library of Congress records retention schedules.
- Assists in the development of policies, guidelines or standard operating procedures.
- Performs related duties as assigned to support the goals of the Town Manager’s Office and the organization.
- High school diploma or GED required; bachelor's degree preferred.
- Supplemented by minimum three years’ progressively responsible administrative, analytical or executive-level support experience, preferably in a local government or public-sector environment.
- Demonstrated proficiency with modern office technologies, including Microsoft Office Suite, cloud-based collaboration tools, project management software and data visualization or workflow applications. Experience with technology-enabled process improvement, digital records management, or automated workflow systems highly desirable.
