Under limited supervision, provides advanced administrative, operational, and analytical support to the Police Department’s Uniformed Services Division. This position plays a critical role in patrol operations by supporting scheduling, payroll and overtime coordination, data analysis and reporting, contract administration, records management, and coordination with internal and external stakeholders.
  • Provides administrative and operational support to the Uniformed Services Division, including correspondence, reports, agenda items, meeting coordination, and preparation of minutes; serves as a primary administrative point of contact for the Uniformed Services Division.
  • Maintains patrol schedules using CrewSense and Time Clock, including daily staffing, overtime assignments, special events, off-duty work, and semiannual shift bid processes.
  • Coordinates personnel changes such as promotions, transfers, and reassignments by updating schedules, evaluations, distribution lists, and organizational records; serves as liaison with Information Technology for patrol personnel moves and system access.
  • Tracks, proofs, and maintains confidential personnel, evaluation, and disciplinary records.
  • Utilizes law enforcement systems to analyze and prepare operational, staffing, and productivity reports, including quarterly, ad hoc, and District Attorney disposition reports.
  • Administers contracted overtime agreements and supports billing, accounts payable, and other financial documentation related to patrol operations.
  • Provides customer service to the public and communicates with victims of non-violent incidents regarding follow-up procedures and investigative processes.
  • Works independently with minimal supervision, exercising sound judgment, discretion, and confidentiality while prioritizing workload and escalating complex or sensitive issues to command staff as appropriate.
  • Performs other related duties as assigned.

Minimum Qualifications
  • High School Diploma or GED required.
  • Minimum of three years of general office experience required.
  • Criminal history training and certification required within six months of hire.
  • Notary Public certification required or ability to obtain within six months of hire.

  • Prior local government and law enforcement administrative experience strongly preferred
 
Knowledge/ Skills / Abilities
  • Knowledge of police administrative operations, scheduling, and records management.
  • Knowledge of office practices and procedures, including records management and administrative workflows.
  • Knowledge of budget tracking, payroll support, and financial documentation processes.
  • Skilled in communication, both oral and written, including spelling, grammar, punctuation, and sentence structure.
  • Skilled in typing, data entry, and computer operations with speed and accuracy.
  • Skilled in using law enforcement systems and office software including Microsoft Office.
  • Skilled in preparing and reviewing documents, agendas, minutes, and correspondence.
  • Ability to understand and carry out oral and written directives, prioritize multiple tasks, maintain professionalism under pressure, and meet deadlines effectively.
  • Ability to maintain confidentiality of sensitive information and work cooperatively with coworkers, supervisors, vendors, and citizens.
  • Ability to maintain confidentiality and comply with CJIS, HIPAA, and departmental security requirements.
