GENERAL RESPONSIBILITIES

Under direct supervision of the Director of Human and Social Services, the Program Assistant supports the daily operations and programming efforts of the Bigelow Center for Senior Activities. This position plays a vital role in the planning, coordination, and implementation of recreational, educational, wellness, and cultural programs that serve adults age 50 and older. The Program Assistant interacts directly with instructors, volunteers, members, and community partners to ensure a welcoming, engaging, and well-organized environment. Responsibilities include program and event support, volunteer coordination, administrative tasks, digital communications, and occasional facility assistance.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Assists in the planning and delivery of programs and activities including health and wellness, creative arts, education, and social events.
  • Coordinates with instructors, speakers, and vendors to ensure successful program execution and A/V needs.
  • Supports program logistics including registration, attendance tracking, and classroom setup.
  • Provides on-site assistance during programs and events, including greeting guests and assisting members.
  • Coordinates local and regional trips; works with tour companies and researches new destinations.
  • Recruits, trains, and supervises volunteers to support Center programming and daily operations.
  • Assists with the creation and scheduling of digital communications, including newsletters, social media posts, and promotional outreach.
  • Collects feedback through surveys and direct interaction to support ongoing program improvement.
  • Maintains accurate program files, records, and reports.
  • Assists with facility operations including opening/closing procedures and room set-up for classes and events.
  • Provides direct customer service in person, by phone, and through email to ensure a positive experience for all members.
  • Performs other related duties as requested.

KNOWLEDGE, SKILLS AND ABILITIES
  • Communicate clearly, professionally, and compassionately with older adults and their families
  • Knowledge of aging-related topics, recreational programming, and community-based services
  • Strong interpersonal and organizational skills with the ability to multitask and adapt
  • Proficiency in Microsoft Office Suite; familiarity with Canva and social media tools a plus
  • Lead and support programs with enthusiasm and attention to detail
  • Work both independently and as part of a team in a fast-paced environment
  • Ability to remain calm, courteous, and resourceful in emergency or high-pressure situations
  • Comfortable working with diverse populations and managing multiple priorities
  • Perform light physical tasks including setting up rooms and event materials

REQUIRED QUALIFICATIONS

  • Bachelor’s degree in gerontology, recreation, social work, or related field preferred
  • Minimum one (1) year of related experience or equivalent combination of education and experience
  • Experience working with older adults or in a community programming environment preferred
  • Must obtain current/valid CPR/AED and First Aid certification or complete within 30 days of hire

SCHEDULE

Part-time schedule, up to 19.5 hours per week

 May include occasional evenings and weekends based on program or event needs

PAY RANGE

Hourly rate commensurate with experience

AFFILIATION

Non-Bargaining Unit, Part-Time Position; Hours may fluctuate based on operational needs


Salary : $22 - $25
