Job Overview
The Town of Beekmantown is seeking a Payroll Clerk / Typist. In this vital role, you will be responsible for ensuring accurate payroll processing, maintaining precise financial records, and supporting various accounting functions. The position entails managing and processing administrative paperwork for both the town hall and the highway department. The position will directly be overseen by the Town Supervisor / Town Board and Highway Superintendent.
Duties
· Processes bi-weekly, monthly and semi-annual payroll and review for accuracy. Processes retirement reporting, deferred comp., cafeteria plans, and child support deductions and payments. Process the reports associated with the previously stated procedures. Balances preliminary and final printout. Verifies payroll checks with recap sheet to ensure that the amounts are correct.
· Processes a variety of transactions involving deduction changes such as retirement, health insurance, social security, etc. Operates computing, calculating, and other office machines in relation to payroll activities.
· Verifies hours and related salaries of elected, hourly, and union employees (for step increases) and processes payroll information regarding applicants for unemployment benefits to the NY State Employment Service. Adjust annual salary for employees based on contract provision.
· Answers telephone and written requests from employees concerning payroll and related personnel matters
· Reconciles and balances bank statements with budget officer to ensure billings are deducted from the appropriate budget lines
· Receives and enters bills from all departments. Organize invoices for Town Board approval at their monthly meeting. Processes, prints, and sends checks in a timely manner. Files invoices and vouchers.
· Processes quarterly reports to State and Federal government and monthly retirement report. W-2 and end of year reporting
· Prepares bank deposits for receivables and records deposits in computer system.
· Orders supplies in a cost-effective manner.
Skills
· Proficient in Microsoft Office Suite, including Word and Excel
· Quick to learn and effectively utilize new software systems, including Williamson Law
· Accurately completing and filing important documentation in a timely manner
· Effective communication skills for collaborating across departments and resolving discrepancies
· Highly productive with minimal supervision, demonstrating strong self-motivation
· Excellent attention to detail combined with strong organizational skills
Experience
Required: Graduation from high school or possession of a high school equivalent diploma and one (1) year of clerical experience involving the preparation and maintenance of payrolls or other financial accounts and records, bookkeeping, recording keeping, or purchasing duties.
