JOB SUMMARY:
Under direction of the Town Manager, performs executive secretarial work requiring specialized knowledge of Town operations; extensive public contact with citizens, officials, and employees, by telephone and in person; and does related work as required.
ESSENTIAL JOB FUNCTIONS:
· Performs executive secretarial functions requiring considerable discretion and knowledge of operations in departments and Town Manager’s Office; assists the public, Town elected officials, and employees with questions requiring knowledge of office policies and procedures.
· Conducts research, makes effective decisions, and works independently to complete assignments and respond to inquiries in the absence of specific instructions or supervision.
· Communicates courteously and effectively with the public, Town elected officials, and other Town employees, in person, in writing, and by telephone, even under stressful conditions.
· Uses diplomacy and tact, and maintains effective working relationships, functions well in small team environment with high profile assignments and multiple short deadlines.
· Prepares correspondence and activity reports; operates computer and printer for word processing, spreadsheets, scanning documents, and data entry, and other office machines such as calculator, copy machine, and fax machine.
· Develops and shares official news, updates, and community information by creating engaging graphics and written content for the Town’s website, social media platforms, and newsletters.
· Schedules and arranges meetings for the Town Manager and senior staff, including maintaining calendars, reserving meeting rooms, and coordinating travel and accommodations as needed.
· Types forms, charts, statements, letters or memos prepared for signatures by Mayor, Town Manager, Senior Town Hall personnel.
· Screens telephone calls, searches files, assembles information, compiles statistics and maintains statistical records; reads proofs; arranges, indexes and files letters, and documents.
· Follows procedures for office expenditure and adheres to budget guidelines.
· Coordinates food arrangements and assists with preparing the space for Board of Trustee meetings, ensuring all logistical details are handled smoothly.
· Responsible for efficient and safe operation, care and appearance of assigned equipment and general office space.
· Lifts, carries, and holds up to 10 lb. of office supplies; pushes and pulls up to 10 lb. of office equipment.
REQUIRED EDUCATION DEGREES, CERTIFICATES AND/OR LICENSE:
High School diploma; Associate Degree preferred. Shall be required to be a Notary Public.
EXPERIENCE, TRAINING, KNOWLEDGE AND SKILLS:
Four years’ experience in office manager and secretarial work or extensive experience in related field. Familiarity with Office365 and various technology applications. Types 60 words per minute.
