Job Title: Billing Coordinator (Construction)

Position Summary
The Billing Coordinator is responsible for managing all aspects of project billing for a construction company, ensuring accurate, timely, and contract-compliant invoicing. This role requires close coordination with project managers, accounting staff, and clients to support financial operations, with a strong emphasis on job costing and AIA billing processes.
Key Responsibilities
- Prepare, review, and submit client invoices in accordance with contract terms and billing schedules
- Manage AIA progress billing, including preparation of G702 and G703 forms
- Track and reconcile project costs using job costing methodologies to ensure accurate billing and reporting
- Collaborate with Project Managers to verify percent complete, change orders, and billing amounts
- Maintain billing schedules and ensure adherence to deadlines
- Process and track change orders, retainage, and lien waivers
- Monitor accounts receivable and follow up on outstanding invoices
- Ensure compliance with contract requirements and client-specific billing procedures
- Assist with month-end close processes related to billing and revenue recognition
- Maintain organized and accurate billing documentation and records
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
- 2–5 years of billing experience in the construction industry
- Strong experience with AIA billing (G702/G703) required
- Demonstrated experience with job costing and project-based accounting
- Proficiency in accounting software (e.g., Sage 300/Timberline, Viewpoint, or similar)
- Advanced Excel skills (pivot tables, VLOOKUPs, etc.)
- Strong attention to detail and accuracy
- Excellent communication and organizational skills
- Ability to manage multiple projects and deadlines in a fast-paced environment
Preferred Skills
- Knowledge of construction contracts and compliance requirements
- Experience with lien waivers, retainage tracking, and subcontractor billing
- Familiarity with ERP systems used in construction accounting
