Primary Purpose of Position:
The Specialized Deposit Accounts Specialist is responsible for the administration and maintenance of complex, regulated deposit account types including Individual Retirement Accounts (IRAs), trust accounts, IOLTA accounts, Certificates of Deposit, decedent accounts, and other specialized account products. This role also serves as a core member of the Member Services team, delivering excellent service through inbound phone, email, chat, and back-office support. The Specialist ensures all activities are conducted in full compliance with applicable IRS regulations, NCUA guidance, state laws, and Credit Union policies, while maintaining the high standard of service Clean Energy Credit Union is known for.
Essential Duties and Responsibilities
Specialized Deposit Account Administration
- Open, maintain, and administer Individual Retirement Accounts (IRAs) including Traditional, Roth, SEP, and SIMPLE IRAs in compliance with IRS regulations and Credit Union policy.
- Process IRA contributions, distributions, rollovers, transfers, and Required Minimum Distributions (RMDs); prepare and submit associated IRS tax reporting forms (1099-R, 5498, etc.).
- Manage trust account opening and ongoing maintenance, verifying trust documentation and ensuring accounts are properly titled and structured per legal requirements.
- Administer IOLTA (Interest on Lawyer Trust Accounts) in accordance with applicable state bar requirements and regulations.
- Process decedent account notifications; communicate with beneficiaries, estate representatives, and attorneys to facilitate lawful account transfers, disbursements, or closures in accordance with Credit Union policy and applicable law.
- Manage Certificate of Deposit renewals including member outreach, rate disclosures, and timely processing in accordance with established policy.
- Open and maintain other specialized account types including estate accounts, conservatorship accounts, payable-on-death (POD) accounts, and accounts requiring power of attorney documentation.
- Ensure all specialized account documentation is complete, accurate, and properly retained per compliance and audit requirements.
- Serve as an internal resource and escalation point for teammates on specialized account regulations, procedures, and documentation requirements.
Member Services
- Provide prompt, professional, and accurate service and support to all members and associates in accordance with Clean Energy’s standards.
- Receive and service inbound calls, emails, and chats related to specialized accounts and general member inquiries.
- Within established levels of authority, provide overrides, process transactions, resolve problems, and answer questions regarding account issues and Credit Union products and services.
- Receive, inspect, and verify negotiable instruments for deposit; accept loan payments and perform a variety of financial transactions in accordance with established policies and procedures.
- Perform all types of account maintenance including fraud claims, business account maintenance, and decedent account maintenance.
- Cultivate and maintain professional, trust-based relationships with members, co-workers, and external representatives such as attorneys, estate administrators, and financial advisors.
Compliance and Operations
- Ensure operational procedures are followed and that the Credit Union maintains proper policies and audit-ready documentation for all specialized account transactions.
- Stay current on IRS regulations, NCUA guidance, state laws, and Credit Union policy changes affecting specialized account types; communicate relevant updates to management and team.
- Participate in all required annual compliance training including Bank Secrecy Act/Anti-Money Laundering, OFAC, Cybersecurity, Diversity & Anti-Harassment, and Fair Lending.
- Assist with internal and external audits related to specialized deposit accounts as directed.
Preferred Job Competencies
- Thorough knowledge of IRA types and IRS regulations (IRS Publications 590-A/590-B), trust account structures, IOLTA requirements, and other specialized deposit account regulations.
- Excellent member service skills with demonstrated ability to handle sensitive or emotionally complex situations (such as decedent accounts) with professionalism, accuracy, and compassion.
- Ability to communicate clearly over the phone, in writing, and via digital channels with members, legal representatives, and co-workers. Advanced skills in Microsoft Office products and Adobe Acrobat.
- Understands and complies with all annual mandated training pertaining to the position including but not limited to Bank Secrecy Act/Anti-Money Laundering/OFAC/Cybersecurity/Diversity & Anti-Harassment/Fair Lending.

- Detailed knowledge of the Credit Union’s products, services, policies, and procedures, with particular emphasis on deposit account types and member eligibility.

Education and Work Experience
- High School Diploma or Equivalent required.
- Associate’s or Bachelor’s degree in Finance, Business, or related field preferred.
- 2 years of experience at a bank or credit union with direct experience in IRA administration, trust accounts, or other specialized deposit account types strongly preferred.
- CISP (Certified IRA Services Professional) designation preferred or willingness to obtain.
