Responsibilities

• Schedule surgeries and procedures accurately within electronic health record (EHR) systems such as eClinicalWorks, ensuring all details align with clinical priorities.
• Review and verify medical documentation, including care plans, medical records, and insurance information, to ensure completeness and compliance with HIPAA regulations.
• Collaborate with clinical teams to coordinate resource availability, including operating room scheduling and staff assignments.
• Manage patient communication through phone calls and front desk interactions, providing clear instructions and empathetic service while maintaining professional phone etiquette.
• Assist with ensuring accurate submission of prior authorizations for all insurances.
• Maintain meticulous records of scheduling activities, documentation reviews, and office correspondence to support efficient clinic operations.
• Uphold confidentiality policies related to medical records and health information management while adhering to clinical confidentiality standards.

Experience

• Proven experience in medical scheduling within a clinical or hospital setting, with familiarity using EMR/EHR systems such as Epic or Meditech.
• Strong knowledge of medical terminology, CPT coding, ICD coding (ICD-10/ICD-9), and health insurance processes including Medicare billing.
• Demonstrated ability to manage multiple tasks efficiently in a fast-paced environment while maintaining attention to detail.
• Excellent customer service skills with the ability to communicate effectively with patients, clinical staff, and insurance representatives.
• Prior clinic or medical office experience involving administrative support, medical records management, and front desk responsibilities is preferred.
• Proficiency in Microsoft Office applications such as Word and Excel for documentation purposes.
• Knowledge of healthcare compliance standards including HIPAA policies and clinical confidentiality practices is essential.

Pay: $19.00 - $21.00 per hour
