Overview
The Fulfillment & Receiving Associate is responsible for the seamless integration of digital sales and physical inventory. This role requires a detail-oriented professional to manage complex online order workflows, including fraud prevention and regulatory compliance, while maintaining 100% accuracy in the store’s receiving and inventory systems.
Duties
Online Order Oversight & Customer Support
- Order Monitoring: Actively monitor the online order queue to identify and resolve orders requiring additional support or manual intervention.
- Customer Engagement: Respond promptly and professionally to customer inquiries, requests, and status updates via email, chat or phone.
- Exception Management: Proactively manage issues such as out-of-stock items, providing customers with alternatives or updated timelines.
- Refund Processing: Evaluate and process customer refunds in accordance with company policy.
- Fraud Detection: Review incoming orders for red flags and fraudulent activity to protect company revenue.
- Regulatory Compliance: Screen orders for state-prohibited items, ensuring all shipments comply with local, state, and federal laws.
Receiving & Inventory Control
- Inventory Intake: Physically receive and unpack incoming shipments, cross-referencing packing slips and invoices against the physical items received.
- Firearm Accuracy: Execute the intake of firearms with absolute precision, ensuring all make, model, and serial number data matches physical assets and legal documentation.
- System Integration: Accurately enter received goods into the store’s inventory management system (POS).
- Quality & Quantity Control: Double-check all quantities for discrepancies and report any shortages or damages to management/distributors.
- Price Maintenance: Verify and update retail pricing during the receiving process to ensure margin accuracy and consistent labeling.
Cross-Departmental Collaboration
- Store Synergy: Coordinate closely with the associates and store owner to maintain an organized warehouse and efficient stock flow.
- Dispute Resolution: Communicate with distributors and shipping partners to rectify shipping errors or missing inventory.
Required Skills & Qualifications
- Extreme Attention to Detail: Must have a proven track record of accuracy, specifically regarding serial number tracking and data entry.
- Problem-Solving: Ability to navigate "gray area" customer service issues and inventory discrepancies.
- Technical Proficiency: Comfortable using inventory software, e-commerce platforms, and communication tools.
- Integrity: High level of ethics when handling sensitive items (firearms) and financial transactions (refunds/fraud).
