We are seeking a friendly, professional, and dependable Receptionist to join our team and serve as the first point of contact for our office. This role is responsible for managing the front desk on a daily basis and providing administrative and clerical support to ensure smooth office operations.

The ideal candidate has strong communication skills, a positive attitude, and the ability to multitask in a fast-paced, patient-focused environment. You will greet and assist patients and visitors, coordinate front desk activities, and help maintain an organized and welcoming office environment.

Success in this role requires strong customer service skills, attention to detail, and the ability to handle multiple priorities efficiently while maintaining professionalism at all times.

Responsibilities

  • Greet and welcome patients and guests in a friendly and professional manner
  • Answer, screen, and direct incoming phone calls
  • Schedule, confirm, and manage patient appointments
  • Check patients in and out efficiently and accurately
  • Collect, update, and maintain patient information and records
  • Verify insurance information and assist with basic patient questions
  • Process payments and maintain accurate financial records
  • Maintain patient confidentiality and follow HIPAA/privacy guidelines
  • Keep the reception and waiting areas clean, organized, and professional at all times
  • Coordinate with providers and staff to ensure efficient office flow
  • Assist with administrative tasks including filing, scanning, emailing, and data entry
  • Maintain office supplies and notify management when inventory is low
  • Follow office policies, procedures, and attendance expectations outlined in the employee handbook
  • Maintain professionalism, reliability, and positive communication with patients and coworkers
  • Perform additional front office and clerical duties as assigned

Skills

  • Proven work experience as a receptionist, front office representative, or similar role (medical office experience preferred)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Hands-on experience with office equipment such as printers and scanners (fax experience is a plus)
  • Professional attitude, appearance, and strong customer service mindset
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively
  • Ability to be resourceful and proactive when issues arise
  • High attention to detail and accuracy
  • Ability to maintain confidentiality and follow HIPAA/privacy standards
  • High school diploma or equivalent required; additional certification in Office Management is a plus

Job Type: Full-time

Pay: $15.00 - $25.00 per hour

Work Location: In person
