Responsibilities
- Greet and welcome patients and guests in a friendly and professional manner
- Answer, screen, and direct incoming phone calls
- Schedule, confirm, and manage patient appointments
- Check patients in and out efficiently and accurately
- Collect, update, and maintain patient information and records
- Verify insurance information and assist with basic patient questions
- Process payments and maintain accurate financial records
- Maintain patient confidentiality and follow HIPAA/privacy guidelines
- Keep the reception and waiting areas clean, organized, and professional at all times
- Coordinate with providers and staff to ensure efficient office flow
- Assist with administrative tasks including filing, scanning, emailing, and data entry
- Maintain office supplies and notify management when inventory is low
- Follow office policies, procedures, and attendance expectations outlined in the employee handbook
- Maintain professionalism, reliability, and positive communication with patients and coworkers
- Perform additional front office and clerical duties as assigned
Skills
- Proven work experience as a receptionist, front office representative, or similar role (medical office experience preferred)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Hands-on experience with office equipment such as printers and scanners (fax experience is a plus)
- Professional attitude, appearance, and strong customer service mindset
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Ability to be resourceful and proactive when issues arise
- High attention to detail and accuracy
- Ability to maintain confidentiality and follow HIPAA/privacy standards
- High school diploma or equivalent required; additional certification in Office Management is a plus
