Client Onboarding Specialist (Remote)

Total Fire Protection is a full service fire and life safety provider serving commercial and industrial customers. Since 1991, our team has delivered fire protection solutions including sprinkler systems, fire alarms, inspections, testing, maintenance, special hazard systems, and related services.

We are seeking an organized and service focused Client Onboarding Specialist to support new clients through the initial stages of their relationship with Total Fire Protection. This remote position will coordinate account information, documentation, communication, and internal handoffs to help provide an efficient and professional onboarding experience.

• Guide new clients through the onboarding process and communicate required next steps.
• Collect, review, and maintain accurate client and account information.
• Establish and update client records within company systems.
• Respond professionally to onboarding related questions by phone and email.
• Coordinate with sales, service, administrative, and other internal teams.
• Assist with scheduling initial service, inspection, or maintenance needs when applicable.
• Track onboarding progress and follow up on outstanding information.
• Maintain accurate electronic records and client communications.
• Help transition new accounts into ongoing service relationships.
• Protect confidential client and company information.

• Previous experience in client service, onboarding, administrative support, account support, or a related role preferred.
• Strong written and verbal communication skills.
• Excellent organization and attention to detail.
• Comfortable using email, spreadsheets, word processing software, and web based business systems.
• Ability to manage multiple priorities and meet deadlines.
• Ability to work independently and collaborate effectively in a remote environment.
• Fire protection industry experience is not required applicable training will be provided.
