Position Summary
The Procurement Operations Specialist is responsible for supporting purchasing, inventory management, supplier coordination, and procurement operations. This role ensures materials are ordered on time, inventory levels are maintained appropriately, and procurement activities align with approved sales forecasts and operational requirements.
Essential Functions
Procurement & Purchase Order Management
- Create, review, and release purchase orders.
- Monitor open purchase orders and supplier confirmations.
- Follow up with suppliers regarding delivery schedules and order status.
- Track inbound shipments and communicate delays or risks.
- Resolve purchase order discrepancies with suppliers, warehouse, and accounting.
Forecast & Inventory Management
- Review sales forecasts provided by Sales and Marketing.
- Support inventory planning and replenishment activities.
- Monitor inventory levels, safety stock, reorder points, and inventory aging.
- Assist in managing FIFO inventory rotation.
- Identify potential stockout and overstock risks.
- Participate in inventory reviews and cycle count reconciliation.
Supplier Coordination
- Maintain communication with suppliers regarding orders, lead times, and delivery commitments.
- Support supplier performance monitoring.
- Maintain vendor information and purchasing records.
- Escalate supplier performance issues when necessary.
Procurement Operations Support
- Support the Senior Procurement Lead with purchasing strategies and execution.
- Maintain purchasing and inventory data within NetSuite and related systems.
- Generate purchasing, inventory, and supplier performance reports.
- Support procurement-related projects and process improvements.
Systems & Reporting
- Maintain accurate purchasing and inventory records.
- Assist with procurement dashboards and KPI reporting.
- Support ERP and system enhancement projects.
- Ensure purchasing data integrity and accuracy.

Qualifications
- Associate or Bachelor's degree in Supply Chain, Business, Operations, Data Analyst or related field preferred.
- Experience with purchasing, inventory management, or supply chain operations.
- Strong organizational and analytical skills.
- Experience with ERP systems (NetSuite preferred).
- Proficient in Microsoft Excel and reporting tools.
- Strong communication and follow-up skills.
- Knowledge of inventory control, FIFO, and procurement processes.
Preferred Experience
- Manufacturing, packaging, or distribution environment.
- NetSuite ERP and WMS experience.
- SQF, GMP, or regulated environment experience.
- Inventory planning and forecasting support.
Working Conditions
