Job Description: We are seeking a dedicated and exceptionally organized Executive Administrative Assistant to provide comprehensive support to our CEO. This is a critical role for someone who thrives on managing a wide variety of tasks with meticulous attention to detail. You will be the CEO's right hand, responsible for managing the administrative flow of a busy, multi-faceted business.
This is not a passive role; we need a self-starter who can take a task, run with it, and deliver a polished, ready-to-go product. The ideal candidate will be a master of multitasking and will play a crucial role in ensuring the smooth operation of our real estate, construction, and property management departments.
Key Responsibilities:
- Administrative Management: Handle all administrative tasks and paperwork for the CEO across all company divisions (real estate, construction, and property management).
- Email Management: Proactively manage the CEO's inbox, drafting and responding to emails on his behalf, and prioritizing urgent correspondence.
- Contract and Document Preparation: Prepare contracts, proposals, and other legal and business documents based on the CEO's direction.
- File and Record Management: Organize and maintain both digital and physical files, ensuring all records are accurate, up-to-date, and easily accessible.
- Communication: Act as a liaison for the CEO, making and fielding phone calls, and communicating with clients, tenants, contractors, and other stakeholders.
- Project Support: Assist in the preparation and assembly of project files and presentations.
- Daily Operations: Perform a variety of daily administrative duties as they arise, demonstrating flexibility and a can-do attitude.
Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Exceptional organizational skills and a meticulous attention to detail.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel) and an ability to quickly learn new software.
- Familiarity with the real estate, construction, or property management industries is a significant plus.
- Ability to work independently and manage multiple tasks and deadlines in a fast-paced environment.
- High level of professionalism and discretion when handling confidential information.
