Position Overview:
We are a fast-growing real estate investment firm specializing in acquiring, managing, and optimizing commercial and residential properties throughout New England. We're looking for an Executive Assistant to assist one of our firm's partners and ensure our office operations run smoothly and efficiently.
The primary role of the Executive Assistant will be to provide professional and personal assistance to one of our Partners, including joining him, on occasion, in our Boston office at least one day per week. In addition, the position will organize and coordinate administrative duties and procedures for our Portsmouth office while creating and maintaining a pleasant work environment and ensuring high levels of organizational effectiveness. This individual will also have the opportunity to work with the various teams throughout the firm to assist with tasks and projects, when necessary.
Responsibilities will include, but not be limited to:
- Manage schedules, email and telephone accounts for one Portsmouth- based Partner.
- Coordinate meetings, appointments, events, travel arrangements and other activities on behalf of the Partners.
- Assist or lead correspondence and presentations, on behalf of the Partners or other Directors, as needed
- Organize and manage invoices and receipts and complete expense reports in Concur
- Partner with Corporate Operations to deliver consistent, high-quality standards of office operations and procedures
- Manage the ongoing traffic of the busy office, including answering and directing incoming telephone calls. Welcoming and directing visitors to the office, including tenants, investors, vendors, and other business partners
- General office maintenance and support, ensuring tidiness of common spaces, ordering and managing the inventory of all office supplies
- Provide occasional general administrative support to all business teams
- Liaise with investors, residents, facility management and vendors such as cleaning, catering, and security services.
- Liaise with field teams and New Hampshire personnel
- Pursue professional growth opportunities through participation in, and seeking leadership roles within, organizations and activities in the industry and community
The ideal candidate will have a Bachelors' degree and 2-3 years of experience supporting a senior executive. The candidate must possess a high level of integrity with the ability to appropriately handle confidential information. The Executive Assistant should be highly organized and efficient with a proven ability to manage multiple priorities with a sense of urgency while maintaining high quality standards. Exceptional writing, problem-solving, and organizational skills, combined with excellent communication and people skills are critical to success in this role. The Executive Assistant must have the ability to work effectively with all levels of the organization.
