Overview
We are seeking a highly organized, proactive Executive Administrative Assistant to support our executive team and help keep daily office operations running smoothly. This role is ideal for someone who enjoys ownership, variety, and being the go-to person who keeps people, projects, and information organized.
You will work closely with leadership, coordinate across departments, and handle sensitive information with discretion. Background check including DMV report and drug screen required. Valid driver’s license required.
Key Responsibilities
Executive & Administrative Support
- Manage executive calendars, meetings, and scheduling using Microsoft Outlook Calendar and Microsoft Teams
- Prepare, proofread, transcribe, and format correspondence, reports, and presentations
- Handle confidential information with professionalism and discretion
Office & Operations Management
- Oversee day-to-day office operations, including supply ordering, front desk coverage, and general office organization
- Manage incoming calls on a multi-line phone system with professional phone etiquette
- Coordinate company meetings, events, and special functions as needed
Property & Records Coordination
- Coordinate with property management associations and organize annual property owners’ meetings
- Maintain, organize, and file deed records and property documentation for multiple properties
Financial & Project Support
- Assist with basic bookkeeping tasks, invoicing, and recordkeeping using Sage or similar software
- Support cross-department projects to help ensure timely and accurate completion
Required Qualifications
- Proven experience in an administrative or office support role
- Strong organizational and multitasking skills in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Microsoft Outlook
- Excellent written, typing, and proofreading skills
- Strong customer service skills and professional phone presence
- Ability to handle sensitive and confidential information responsibly
Preferred Qualifications
- Prior experience supporting executives or senior leadership
- Experience with Sage, QuickBooks, or similar bookkeeping software
- Familiarity with Google Workspace
- Notary Commission (helpful but not required)
