Torchlight Recovery Group is a national intervention and collaborative care management company based in Charleston, SC. We work with families, professionals, and treatment providers to guide individuals through mental health and substance use challenges with structure, clarity, and compassion.
We are hiring a part-time Administrative Coordinator to support our growing team. This is a key role responsible for keeping operations organized, communication clear, and client support systems running smoothly.
This is not a passive admin role. You will be an integral part of how our company functions day to day.
Responsibilities
Client & Case Support
Coordinate scheduling for client sessions, family calls, and team meeting
Track client timelines and ensure follow-through on key action items
Prepare and organize client documentation (intake forms, reports, updates)
Maintain accurate and confidential client records
Operations & Systems
Manage calendars, workflows, and internal systems
Track contracts, invoices, and payments
Assist with onboarding new clients and families
Maintain organization across shared files and systems
Communication
Communicate professionally with clients, families, and referral partners
Draft and send emails, updates, and follow-ups
Support coordination between internal team members and outside providers
Business Support
Assist with CRM management and referral tracking
Support outreach efforts (attorneys, therapists, treatment centers)
Help prepare materials for meetings and presentations
Identify ways to improve efficiency and organization
Qualifications
Strong organizational and time management skills
High attention to detail and follow-through
Excellent written and verbal communication
Ability to manage multiple tasks and priorities
Comfortable working in a fast-paced environment
Preferred Experience
Administrative or operations experience (healthcare, behavioral health, or legal preferred)
Experience with CRM systems, scheduling tools, and document management
Experience working with sensitive or confidential information
