What are the responsibilities and job description for the Driver Training and Compliance Superisor position at TopView Sightseeing?
About Us
TopView Sightseeing is a growing national tourism and transportation company operating TopView Sightseeing, Tea Around Town, and North Pole Express. From double-decker city tours to dining experiences aboard our buses, our operations depend on well-trained drivers, safe and compliant vehicles, and organized records across every city we serve.
About the Role
This role combines driver training, DOT compliance, safety administration, and operational support for our national operations team. You’ll onboard and train new drivers, run quarterly safety training, maintain driver and vehicle compliance records across multiple states, and build Google Workspace tools that give leadership clear visibility into training and compliance status.
We need someone who notices when information is missing, follows up until issues are resolved, and builds systems that make the operation run more smoothly.
What You’ll Do
Driver Onboarding and Training
- Lead orientation and onboarding for new drivers, covering company policies, safety procedures, and customer service standards.
- Train drivers on Samsara (DVIRs, pre- and post-trip inspections, defect reporting) and Connecteam (timekeeping, scheduling, communication).
- Coordinate hands-on training, route familiarization, and evaluations with local managers and trainers.
- Track training progress, assessments, and sign-offs, and make sure drivers are fully trained before working independently.
- Help develop and update training manuals, SOPs, and instructional materials.
Quarterly Safety Training
- Plan and deliver quarterly safety training across all locations, covering defensive driving, passenger safety, emergency procedures, and vehicle inspections.
- Maintain the training calendar, attendance, and completion records, and follow up on overdue training.
- Coordinate refresher training after incidents or operational changes.
- Support safety initiatives led by the National HR, Safety and Compliance Manager.
DOT Compliance and Documentation
- Maintain driver qualification (DQ) files, including CDLs, endorsements, DOT medical cards, annual MVRs, and employment verifications.
- Run and track FMCSA Drug and Alcohol Clearinghouse queries for drivers.
- Assist with USDOT registration, FMCSA operating authority, biennial MCS-150 updates, and UCR filings.
- Manage vehicle registrations, annual DOT inspections, insurance filings, and state and local operating permits across multiple states.
- Track expiration and renewal dates and escalate issues before they lapse.
- Prepare records for DOT audits, roadside inspection follow-ups, and new-location launches.
Administrative Support and Reporting
- Provide day-to-day support to the National Director of Operations, including reports, presentations, correspondence, and meeting coordination.
- Build and maintain Google Sheets trackers and dashboards for training completion, document expirations, and open action items.
- Create Google Forms for assessments and document collection, and keep shared Drive folders organized.
- Identify ways to simplify workflows, reduce manual work, and improve reporting accuracy.
What You’ll Bring
Required
- 2 years of experience in operations coordination, compliance, administrative support, employee training, or transportation administration.
- Advanced Google Sheets skills, including complex formulas, pivot tables, conditional formatting, data validation, and dashboards.
- Strong working knowledge of Google Docs, Forms, and Drive.
- Experience leading employee training, orientation, or onboarding.
- Strong organization, attention to detail, and the ability to manage multiple deadlines independently.
- Clear written and verbal communication with employees, managers, and government agencies.
- Experience handling confidential employee records.
Preferred
- Experience maintaining DOT driver qualification files or FMCSA registrations.
- Experience in transportation, passenger operations, fleet administration, or logistics.
- Experience with Samsara, Connecteam, or similar platforms.
- Experience writing SOPs, training manuals, or employee assessments.
- Experience supporting multi-location operations.
A CDL is not required for this position.
Work Schedule
This is a full-time position requiring a minimum of 45 hours per week, generally spread across five workdays. The regular schedule is based on operational needs and may include early mornings, evenings, weekends, holidays, and special events.
Because TopView Sightseeing operates seven days a week across multiple time zones, the Driver Training and DOT Compliance Coordinator must keep a flexible schedule to support driver onboarding, quarterly safety training, regulatory documentation submissions, and operational deadlines.
Weekend availability and occasional scheduled weekend work may be required to accommodate driver training schedules and business needs. The position is not limited to Monday through Friday.
The employee is expected to manage assigned responsibilities, meet established deadlines, and adjust their schedule as needed to support national operational priorities.
Travel
This position requires travel of up to 15% to other company locations to support driver training, safety initiatives, and operational needs.
Holidays
Because of the nature of our operations, holidays may be regular operating days. The Driver Training and DOT Compliance Coordinator may be required to work on company-observed holidays based on driver training needs, operational requirements, regulatory deadlines, and special events.
Any applicable holiday pay, time off, or alternate scheduling will be handled in accordance with company policy and applicable law.
What Success Looks Like
- New drivers are fully onboarded and trained before taking independent assignments.
- Quarterly safety training is scheduled, delivered, and documented at every location.
- Driver and vehicle compliance records stay current, with expirations caught well in advance.
- The company is prepared for DOT audits at any time.
