Key Responsibilities
Administrative & Operational Support
- Maintain daily administrative functions to ensure efficiency and organization
- Support workflow coordination across Operations, Sales, Finance, and Leadership
- Maintain organized systems, documentation, and office procedures
- Contribute to a professional and well-run office environment
Scheduling & Customer Coordination
- Respond promptly and professionally to customer inquiries via various channels, including phone, email, social media, text messages and other lead sources
- Assist with job and estimate scheduling, including adjustments for weather and operational changes
- Efficiently manages Arborists schedules and travel time by understanding geography of city by zip code
- Monitor scheduling updates communicated via phone, text, and email
- Support inbound customer calls and estimate coordination
- Record all customer interactions in the CRM system, ensuring that information is accurate and up-to-date
- Maintain clear communication between customers and internal teams
- Handle customer complaints and issues, striving to resolve them in a timely and satisfactory manner
Reporting & Systems Management
- Maintain daily dashboards, sales trackers, production tables, and labor summaries
- Assist with tracking and respond to customer reviews
- Assist with managing uniform inventory
- Assist with onboarding and offboarding administrative tasks
Financial Processing & Administrative Support
- Assist with processing invoices and apply customer payments, monitoring accounting inbox and manage receivables workflows, expense reporting and commission tracking, preparing referral partner commission sheets, processing vendor invoices and internal payout documentation, ensuring accurate job close-out and financial recordkeeping
Operational & Executive Support
- Assist with submitting GA811 utility locate requests, entering green waste pickups into internal systems, assisting with permitting and emergency operations coordination, providing administrative support to executive leadership as needed, managing mail, notarizations, and customer document requests
- Collaborate with our marketing team to contribute to customer-centric strategies
Office & Facility Support
- Maintain office organization and supply inventory
- Assist with internal meetings and company initiatives
- Provide general office and hospitality support as needed
- Create a welcoming and thriving environment through office organization, cleanliness and hospitality
Qualifications
- Minimum 5 years experience in office administration, operational support or professional environment
- Strong organizational and time-management skills
- High attention to detail and strong follow-through
- Excellent written and verbal communication skills
- Comfortable managing multiple responsibilities simultaneously
- Proficiency with office software, scheduling systems, and business platforms
- Solutions-oriented and adaptable in a fast-paced environment
- Experience in a service-based business preferred
- Tree care industry knowledge is a plus
- Flexibility to adjust to changing priorities and occasional extended hours
