Corporate Receptionist - Top Law Firm
Location: New York, NY
Schedule: Full-Time
Shift: Monday–Thursday, 4:00 p.m.–12:00 a.m.; Saturday, 8:00 a.m.–4:00 p.m.
Summary:
Provide exceptional, concierge-level service to clients, visitors, and staff, ensuring a consistently polished, professional, and welcoming experience.
Essential Duties & Responsibilities:
- Deliver high-touch, concierge-level customer service to internal and external clients.
- Operate a multi-line phone system, screening and routing calls, taking accurate messages, and delivering them promptly per attorney instructions.
- Rotate across reception floors to maintain continuous coverage during breaks and lunch periods.
- Schedule, confirm, and manage conference room reservations, coordinating with Catering, IT, AV, and Office Services to ensure all requests are executed seamlessly.
- Maintain awareness of firm-wide meetings and events to direct visitors efficiently.
- Assist with client and staff requests, including car services, travel arrangements, and conference call coordination.
- Manage conference call requests accurately and in a timely manner.
- Greet visitors, escort them to appropriate locations, and maintain a professional and orderly reception area at all times.
- Conduct pre-meeting checks to ensure conference rooms are properly set up and meet reservation requirements.
- Maintain flexibility to work overtime as needed, including evenings, weekends, holidays, and occasional overnight shifts; participation in a weekend rotation is required.
Knowledge, Skills & Abilities
- Familiarity with Cisco phone systems, Rendezvous reservation systems, and the Akkadian Console app is preferred.
- Excellent verbal and written communication skills with a professional demeanor and appearance.
- Strong customer service orientation and ability to work collaboratively in a team environment.
- Exceptional organizational, multitasking, and time-management skills with strong attention to detail.
- Ability to thrive in a fast-paced environment, follow instructions accurately, and seek clarification when needed.
- Capable of working independently with minimal supervision while maintaining strict confidentiality.
Education & Experience
- Bachelor’s degree or equivalent professional experience required.
- Minimum of two years of reception or customer service experience, preferably in a legal, corporate, or hospitality environment.
Compensation:
The expected base salary for this role is $60,000, with the final offer determined by factors such as experience, qualifications, and education. Competitive benefits are also provided.
