We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
- Oversee administrative tasks such as data entry, filing, proofreading documents, and maintaining accurate records using tools like Microsoft Office , Square and QuickBooks Online.
- Coordinate calendar management and schedule appointments for clients and/or team members, ensuring efficient time management.
- Handle bookkeeping responsibilities utilizing QuickBooks or similar accounting software to support basic financial recordkeeping and invoicing.
- Provide exceptional customer service by supporting clients ensuring their needs are met promptly and courteously.
- Maintain office supplies inventory, oversee maintenance requests, and ensure the office environment adheres to safety standards.
- Marketing support (managing the website and growing initiatives)
- Support in coordinating events and other activities in the office
Requirements
- Proven experience in office management or administrative roles with strong organizational skills and attention to detail
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Reliable and presentable
- Use tact, discretion and diplomacy
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and familiarity with data entry and filing systems.
- Bilingual skills in English/Spanish are required to effectively communicate with diverse clients or staff members.
Pay: From $3,000.00 per month
