The Wholesale Coordinator will play a key role in supporting daily sales activities and ensuring seamless collaboration between the sales team, buyers, and retail partners. This role requires exceptional organizational skills and advanced excel capabilities to manage multiple priorities, maintain accuracy in order and product data, and keep cross-functional projects on track. The ideal candidate is detail-driven, proactive, and thrives in a fast-paced environment.
Key Responsibilities
Order & Operations Coordination
Partner with Operations to track order status, shipping timelines, and resolve fulfillment issues.
Communicate order updates, tracking details, and delivery confirmations to accounts.
Follow up on PO discrepancies, SKU changes, shortages/overages, and resolve with cross-functional teams.
Customer Setup & Product Data
Manage item setup and maintenance in retailer systems (GXS, PIM, customer portals) and internal databases.
Ensure product data accuracy across pricing, UPCs, pack sizes, and images.
Market & Sales Preparation
Organize and manage samples, line sheets, and product decks for market and sales meetings.
Compile and submit product assets, copy, and specifications to retailers prior to launch.
Vendor & Fixture Coordination
Coordinate with vendors to produce in-store fixtures and displays.
Manage artwork approvals, timelines, and delivery schedules to ensure on-time execution.
Data & Reporting
Pull, clean, and analyze weekly selling data from retailer portals.
Build and maintain Excel reports and dashboards to track sales and promotional performance.
Prepare and distribute performance reports to internal stakeholders.
Account & Buyer Support
Respond to buyer requests promptly and professionally.
Maintain structured communication with accounts to ensure smooth execution of programs and promotions.
Project & Promotion Support
Maintain promotion calendars and track campaign execution.
Coordinate timelines for new product launches, exclusives, and retailer-driven programs.
Ad Hoc Projects
Support additional wholesale initiatives and special projects as needed.
Qualifications
Education: Bachelor’s degree in Business, Marketing, or related field preferred.
Experience:
Minimum 2 years of experience in wholesale, sales operations, or account support within retail, beauty, fashion, or consumer goods.
Prior experience working cross-functionally with operations, vendors, and retail partners preferred.
Skills:
Advanced Excel skills required (pivot tables, VLOOKUP, data analysis, reporting).
Exceptional organizational and time management skills; proven ability to manage multiple priorities with accuracy and attention to detail.
Proficiency in Microsoft Office Suite (PowerPoint, Outlook) and Google Workspace.
Strong presentation skills; comfortable engaging with buyers and internal leadership teams.
Excellent written and verbal communication skills.
Proactive problem-solver who takes initiative and follows through.
Ability to build and maintain strong relationships with internal teams, buyers, and external partners.
