We are proudly part of Japan Post — www.tollgroup.com PURPOSE The Import Agent handles day to day operations pertaining to Ocean/Air Imports and acts as a liaison with the Customer Service Department PRIMARY DUTIES & RESPONSIBILITIES Handles day to day operations, for both Ocean/Air Imports Updates/KPI/Data Compliance/invoicing, auto-rating requirements. Tracks and traces import ocean/air cargo from departure to arrival Completes data entry, status reports, monitors shipment status Maintains Job Management WIP/ACRL Reviews documentation to ensure it is complete and compliant. Coordinates cargo movement with Ocean/Air Carriers, and trucking companies Receives/Reviews documents, Bills of Lading, MAWB, HAWB Communicates daily with vendors, carriers, various service providers Completes invoicing and cost confirmations for proper Job Management Potentially cross-trains with other departments for experience growth PAVE complete the tasks in the system. Other work as assigned by management In respect to financials: Maintains cost effective job processing. Processes Accounts Receivable as necessary Maintains job profitability/job management. Ensures all processing is aligned within the company’s internal KPI’s. In respect to health & safety: Records all accidents and incidents immediately. Acts promptly in reporting any emergency and environmental incidents situations. Notifies their manager immediately of any emergency situation or environmental incident. Always takes seriously both their own safety and the safety of others. Takes an active role in identifying hazards and unsafe behaviours in the workplace by reporting any hazards and incidents quickly Turns up fit for work and immediately reports any unsafe behaviour. Suggests improvements that will give Toll a competitive advantage. PHYSICAL DEMANDS This position is generally sedentary in nature; involves sitting most of the time but may involve walking or standing for brief periods of time. Ability to occasionally lift to 10 lbs. required. Ability to talk and hear required. Ability to perform repetitive motions required. Ability to occasionally move inside the office. Must be able to remain in a stationary position for x amount of time. Ability to move or position self to reach, lift, climb, balance, stoop and crouch required. Ability to read PC screens; detect colour coding, read fine print, and/or normal type size print required. JOB REQUIREMENTS Essential Minimum Qualifications High school diploma or GED 5 years in global forwarding Import with operations and customer service experience Preferred Qualifications Bachelor’s degree. DG certification – Knowledge. Cargo Wise / AS400 system. Microsoft Programs (Word/Excel/PowerPoint). SKILLS ESSENTIAL TO THE JOB Technical Knowledge of Global forwarding operations Computer skills, including good knowledge of Microsoft Office Experience dealing with customers, with a strong customer focus and service ethic Methodical, planned and organised with strong attention to detail. Good time management Cargo wise one system software experience preferred.
