Overview
The Project Coordinator is responsible for delivering an exceptional client experience by coordinating projects from material selection through completion while supporting the daily administrative operations of the office. This role serves as the communication hub between clients, sales, production, and installation teams to ensure projects stay organized, on schedule, and exceed customer expectations.
The ideal candidate is highly organized, detail-oriented, and enjoys building relationships with clients. They will assist customers with material selections, schedule appointments, monitor project progress, maintain accurate records, and help keep the office and showroom operating efficiently. Success in this role requires strong communication skills, the ability to manage multiple priorities, and a proactive approach to problem-solving in a fast-paced environment.
Duties
- Answer incoming phone calls and greet showroom visitors.
- Maintain organized digital and physical project files.
- Prepare contracts, change orders, purchase orders, invoices, and project documentation.
- Enter and maintain accurate customer and project information.
- Order office and showroom supplies as needed.
- Keep the showroom clean, organized, and welcoming for customers.
- Assist clients in selecting finish material.
- Notify customers of schedule changes and confirm upcoming appointments.
- Communicate project status during team meetings.
- Schedule showroom appointments and design consultations.
- Provide project updates and answer customer questions promptly.
- Maintain professional communication through phone calls, emails, and in-person interactions.
- Ensure a positive customer experience from start to finish.
Requirements
- Minimum of 2 years of experience in project coordination, office administration, customer service, or construction/remodeling preferred.
- Experience in the countertop, cabinetry, flooring, kitchen and bath, or home improvement industry is a plus.
- Excellent organizational and time management skills with the ability to manage multiple projects simultaneously.
- Strong verbal and written communication skills.
- Exceptional customer service and relationship-building abilities.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel) and general computer applications.
- Strong attention to detail and accuracy in documentation.
- Ability to prioritize tasks and adapt in a fast-paced environment.
- Professional phone etiquette and interpersonal skills.
- Strong problem-solving and critical-thinking abilities.
Pay: From $20.00 per hour
