PURPOSE OF THE JOB:


The Payroll Specialist is responsible for the accurate and timely processing of payroll across multiple entities and locations within Today’s Dental Network. This role serves as a key operational resource supporting payroll administration, payroll compliance, reporting, reconciliations, audits, and employee payroll support within a fast-paced multi-site healthcare organization.


The ideal candidate has strong payroll processing experience, exceptional attention to detail, experience working within payroll and HRIS systems, and the ability to manage high-volume payroll operations with accuracy, accountability, and professionalism.


RESPONSIBILITIES: 


Payroll Administration


  • Own and administer end-to-end payroll processing for employees across multiple entities and locations, ensuring accuracy, compliance, and timely processing.
  • Manage payroll administration activities, including quarterly and year-end filings, reconciliations, W-2 processing, and coordination with payroll vendors/agencies
  • Manage payroll audits, reconciliations, balancing, and payroll-related reporting
  • Maintain compliance with federal, state, and local payroll regulations
  • Partner with Finance regarding payroll GL balancing and reporting support
  • Review payroll data for accuracy including employee status changes, deductions, benefit elections, garnishments, PTO balances, and payroll adjustments
  • Partner with HR Operations regarding employee data management, onboarding/offboarding updates, payroll workflows, and payroll-related system updates
  • Coordinate and administer 401(k) operational activities including payroll deductions, file transmissions, contribution reconciliations, annual audits, non-discrimination testing coordination, Form 5500 support, vendor management, and employee support
  • Manage payroll reconciliations, payroll reporting, and payroll compliance documentation activities
  • Support employment and wage verification requests in accordance with company procedures and compliance requirements
  • Support employee inquiries related to payroll, pay statements, deductions, direct deposits, and payroll processing
  • Maintain payroll records and documentation in accordance with company policies and compliance requirements
  • Analyze payroll processes and recommend operational improvements and efficiencies to support organizational growth and payroll accuracy
  • Support development, implementation, and maintenance of payroll SOPs, controls, compliance documentation, and operational workflows
  • Exercise independent judgment in resolving payroll operational issues, compliance-related matters, and employee payroll concerns



Benefits & Compliance Administration


  • Support and coordinate payroll, benefits, ACA, and 401(k) audit activities including reporting, reconciliations, documentation gathering, and compliance support.
  • Support and coordinate ACA administration and reporting activities including eligibility tracking, employee measurement monitoring, reporting coordination, and related compliance support
  • Reconcile monthly benefits invoices and coordinate discrepancy resolution with carriers, brokers, payroll, and HR Operations
  • Support benefits administration processes including employee enrollments, qualifying life events, benefits deductions, and carrier coordination
  • Assist employees with benefit-related questions and provide support regarding enrollment processes and benefit resources
  • Partner with brokers, carriers, and vendors to support benefits administration and operational issue resolution
  • Support open enrollment coordination activities including employee communications, system updates, and enrollment processing
  • Support leave administration coordination including FMLA, ADA, leave tracking, compliance documentation, and employee leave communications in partnership with HR Operations and HR leadership
  • Assist with benefits audits, reporting, and operational support activities related to employee benefits programs


HR Operations & Collaboration


  • Collaborate closely with HR Operations to support employee lifecycle processes, compliance activities, and operational workflows
  • Support payroll and benefits-related reporting, audits, and data accuracy initiatives
  • Maintain confidentiality of employee payroll, benefits, and personnel information
  • Demonstrate a hands-on and collaborative approach to supporting payroll, benefits, and HR operational initiatives within a growing organization


MINIMUM REQUIREMENTS: 


  • High school diploma required; Associate’s or Bachelor’s degree preferred
  • 5 years of payroll, benefits, HR administration, or related operational experience
  • Experience processing payroll and supporting payroll administration activities
  • Experience independently processing payroll, quarterly/year-end payroll activities, reconciliations, and payroll compliance administration required
  • Experience with ACA administration and reporting preferred
  • Experience with 401(k) audits, non-discrimination testing, and Form 5500 coordination preferred
  • Experience reconciling benefits invoices preferred
  • Experience supporting benefits administration and employee benefits processes
  • Familiarity with payroll systems, HRIS platforms, and Microsoft Office applications
  • Strong attention to detail, organizational skills, and problem-solving abilities
  • Ability to manage sensitive and confidential information with professionalism and discretion
  • Strong communication and customer service skills
  • Experience supporting multi-site operations preferred

  • UKG Ready experience
  • Experience within healthcare, dental, or multi-site service organizations
  • Experience supporting leave administration processes including FMLA and ADA coordination
  • Benefits administration and carrier/vendor coordination experience
  • Experience supporting payroll audits, reconciliations, and reporting
  • Experience working within fast-paced or high-growth organizations
  • Experience supporting HR operational processes and employee lifecycle administration

SALARY RANGE: $80,000 - $90,000 annually
