What are the responsibilities and job description for the Executive Assistant position at TN Voices?

Qualifications: Bachelor’s degree in business, Administration, or equivalent professional level experience. Minimum of three years experience in office management or equivalent related functions. Non-profit organization experience and work history within child serving systems preferred.

Duties & Responsibilities/Principal Activities:

  • Demonstrate enthusiasm for all services of TNV and be fully knowledgeable about the regions where services are provided, and benefits of TNV services.
  • Provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.
  • Maintain and refine internal processes that support the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow
  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks.
  • Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.
  • Manage professional and personal scheduling for COO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives.
  • Manage, coordinate, and arrange senior executives’ travel and travel-related activities.
  • Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database.
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
  • Organize team communications and plan events, both internally and offsite
  • Productive back up support for security of buildings.
  • Complete required safety checks for the TNV corporate office building.
  • Maintain inventory and ensure timely and accurate ordering of supplies for the corporate office.
  • Development and implementation of designated projects to support clerical/administrative improvements.
  • Monitors and disseminates correspondence received via email, fax, or postal service.
  • Provide general administrative support to remote office administrative staff when necessary.
  • Support HR Department needs and maintain confidentiality of all records.
  • Coordination and support of agency functions and events.
  • Ensure proper front desk coverage and act as a back up to the Intake and Referral Coordinator.
  • Other duties and/or tasks as assigned.
