Job Overview:
We are seeking a dynamic and highly motivated Sales and Event Coordinator to play a crucial role in our dual hotel properties, focusing on attracting business groups, coordinating events, and optimizing sales opportunities. The ideal candidate will be bilingual in Spanish and English, possess a flexible schedule (including weekends), have a background in sales, and demonstrate exceptional organizational skills. In addition, familiarity with office packages and proficiency in various internal systems will be essential to succeed in this multifaceted role.
Responsibilities:
Sales Coordination:
- Attend all telephone calls promptly, utilizing clear and professional language.
- Respond to client requests, provide quotes, and handle transient and corporate reservation inquiries.
- Be the primary lead catcher and ensure quick turnaround responses to potential leads.
- Compose new contracts for Catering and Sales Managers, handling group logistics, proposals, and contracts.
- Coordinate with Banquet operations to ensure complete customer satisfaction.
Event Coordination:
- Assist in typing Banquet and Sales correspondence, including answering mail and confirming banquet arrangements.
- Compose, publish, and distribute Banquet Event Orders (BEO) to relevant departments for successful event execution.
- Prepare signage and menu items for all banquet events.
- Attend and supervise events, ensuring all client requirements are met.
Administrative Support:
- Maintain the entire sales correspondence database and client information folders.
- Prepare administrative documents for the hotel sales team.
- Coordinate with other hotel departments to ensure the distribution of pertinent information.
System Proficiency:
- Be proficient with internal systems such as ISAC, Lightspeed, Galaxy UX, Cvent, Hotel Planner, Reservation Connection, Star groups, and Starboard reports.
Requirements:
- Bilingual proficiency in both Spanish and English.
- Flexibility in work schedule, including availability to work some weekends.
- Previous experience in a sales-related role is preferred.
- Exceptional organizational and multitasking skills.
- Familiarity with office packages (e.g., Microsoft Office, Google Suite).
- Proficient in internal systems (ISAC, Lightspeed, Galaxy UX, Cvent, Hotel Planner, Reservation Connection, Star groups, Starboard reports).
- Excellent communication skills, both verbal and written.
- High levels of patience, tact, and diplomacy.
Other Considerations:
- Bachelor’s Degree in Hospitality preferred.
- High school Diploma required.
- Prior experience in the hospitality industry preferred.
- Ability to walk up to 2 hours straight.
- This is a full-time position, with a flexible schedule and the possibility of weekends, holidays, and night shifts.
- Travel may be required.
Salary:$18.00 - $21.00 per hour
