PRIMARY FUNCTION: The Front Desk Receptionist is responsible for providing front desk coverage, supporting daily office operations, and ensuring a safe, organized, and welcoming environment for clients, staff, and visitors. This role facilitates communication, maintains confidentiality, and assists with administrative and client support tasks to promote efficient program operations.
DUTIES/RESPONSIBILITIES:
- Greet clients and visitors and manage front desk interactions
- Route calls and inquiries to the appropriate departments or staff
- Be available to open the building and ensure readiness for daily operations
- Maintain a safe, clean, and welcoming environment
- Collect and secure client medications each morning per protocol
- Collect and store client cell phones in accordance with program guidelines
- Answer incoming phone calls in a professional manner
- Empty trash receptacles and tidy client lounge areas
- Clean and organize supply and activity closets
- Update the Emergency Binder when new clients or staff (including interns) begin at TranscendED
- Monitor building and office supply levels
- Assist clients with activities of daily living, including bathroom breaks, as needed
- Assist with scanning, uploading, labeling, and filing client chart documents as directed by management
- Schedule and confirm client appointments, including sending reminders
- Maintain accurate client sign-in and sign-out logs
- Handle incoming and outgoing mail, packages, and deliveries
- Maintain confidentiality of client information in compliance with HIPAA and organizational policies
- Provide general administrative support such as data entry, copying, and preparing documents
- Perform other duties as assigned by the Clinical Director
