What are the responsibilities and job description for the Office Assistant position at TLC Child and Family Services?

Transitioning to adulthood is hard for anyone, but can be especially challenging for our most vulnerable current and former foster youth. TLC provides comprehensive mobile case management including employment, health and wellness, education, finance management, accessing resources, and navigating the ins-and-outs of independent living. We help youth (ages 16-25) to rise up from foster care successfully by providing a safe housing environment where they can learn and practice the life skills necessary to work on self-identified life goals.

Position Summary:

Under the supervision of the Office Manager and the Director of TAY Housing Programs, the Office Assistant position provides part-time (20 hours/week) administrative support to all TLC Transition Age Youth Housing Programs and maintains the ongoing function and daily running of the TLC Transition Age Youth Housing Programs office and Resource Center. The Office Assistant is a multifaceted position that requires professionalism, flexibility, creativity and patience.

Essential Functions:

In conjunction with the Office Manager, the Office Assistant co-facilitates Resource Center reception, administrative office duties, management of program partnerships and the coordination of youth services support. The Office Assistant’s role will include but not be limited in responsibility for:

  • Opening and coordinating a professional, functional, youth-friendly office environment.
  • Maintaining Resource Center visual resources.
  • Answering the phone, and greeting youth and visitors.
  • Screening drop-in youth for appropriate services.
  • Creating and managing the implementation and attendance of Independent Living Skills workshops.
  • Supporting the setup, breakdown, and organization of events.
  • Ensuring that resources posted are organized and up to date in the center and in emails sent to youth.
  • Closing the center at the end of the day (shutting off lights/computers/heat, locking all doors, arming the alarm, etc.).
  • Supporting office equipment maintenance as needed.
  • Checking and routing received mail and documentation as necessary.
  • Keeping staff contact lists up to date.
  • Supporting kitchen and center organization and cleanliness.
  • Organizing and stocking on-site food pantry and snacks.
  • Managing storage and distribution of Resource Center donations.
  • Maintaining accurate and up-to-date program participant files.
  • Assist with maintaining the program database, including reports and documentation needs.
  • Assist program participants with job search, accessing educational and community resources or referring them to appropriate people and organizations for help.
  • Interview and celebrate participants and their achievements through Spotlight board (or other means) and on THP Facebook page as appropriate.
  • Other duties as assigned.

  • Ability to express oneself and communicate both orally and in writing.

  • Ability to perform job duties efficiently, including multi-tasking and organization.
  • Support existing agency policies, maintain confidentiality in all matters of agency operations including participants and employees.
  • Maintain appropriate professional relationships with all staff and participants, including displaying healthy boundaries.
  • Work in a team-decision-making process.
  • Relate to participants of the program and their needs.
  • Ability to take direction.
  • Make decisions and clarify vague concepts, sometimes in a crisis situation.
  • Exercise good judgment in performance of duties and responsibilities.

Qualifications:

  • Minimum of a high school diploma, or equivalent, is required.

  • One years’ experience in an office setting is required. Experience working with teens or young adults preferred.
  • Computer skills and knowledge of Google Office Suite, Microsoft Word and Excel.
  • Obtain and maintain fingerprint, government and agency required background clearances, without additional exemptions.
  • Ability to pass a pre-employment physical exam, TB test, and drug screen.
  • Valid California driver’s license with an acceptable driving record and auto insurance showing employee as an insured driver on the policy.

Wage Range: $20.64 - $27.74 depending on years of experience. The salary range for this role may vary above and below the posted range, as determined by experience and licensure. Compensation takes into account several factors, including, but not limited to, a candidate's experience, education, skills, licensure and certifications, departmental equity, training, and organizational needs.
