    About the Role< / b>

    < / span>Seeking a highly organized and detailoriented individual to join our team as an Administrative Assistant and Client Support< / b> professional. This role combines administrative tasks with customer service duties to ensure smooth daily operations and a positive client experience. Proficiency in QuickBooks< / span> Desktop is preferred along with excellent communication and organizational skills.< / p>

    Responsibilities< / b>< / span>
    < / p>

    • Administrative Support< / b> : < / span>
      < / li>
    • Enter customer orders and process invoices.
      < / li>
    • Record and process customer payments including bank deposits.
      < / li>
    • Review and approve vendor bills.
      < / li>
    • Respond to vendor inquiries regarding payment statuses.
      < / li>
    • Reconcile and categorize credit card payments.
      < / li>
    • Send monthly account statements to customers.
      < / li>
    • Follow up on overdue payments through collection emails and phone calls as needed.
      < / li>
    • Scan file and organize documents efficiently.
      < / li>
    • Maintain accurate records and documentation of all transactions and client interactions.
      < / li>
    • Customer Service and Client Support< / b> : < / span>
      < / li>
    • Assist with answering phones providing professional and friendly support.
      < / li>
    • Respond to customer inquiries regarding billing account details and order status.
      < / li>
    • Resolve customer issues promptly escalating concerns when necessary.
      < / li>
    • Ensure clear and timely communication with customers about orders invoices and payments.
      < / li>
    • Proactively follow up with clients to confirm receipt of invoices payments and statements.
      < / li>
    • Maintain a high level of customer satisfaction by addressing concerns with empathy and professionalism.
      < / li>
    • General Administrative Duties< / b> : < / span>
      < / li>
    • Assist with special projects as needed.
      < / li>
    • Perform other administrative tasks to support the team. Qualifications< / b>< / span>
      < / li>
    • Education / Experience< / b> : Previous experience in administrative support or customer service roles preferred.
      < / li>
    • Technical Skills< / b> : Knowledge of QuickBooks Desktop is highly preferred; familiarity with Odoo Bill.com and MS Office is a plus.
      < / li>
    • Soft Skills< / b> : Strong attention to detail excellent communication skills and ability to manage multiple tasks efficiently.
      < / li>
    • Work Environment< / b> : Comfortable in a parttime flexible schedule setting.
      < / li>< / ul>
