What are the responsibilities and job description for the Event Planning Manager position at TKo Hospitality Management?

Major Functions:

The Event Planning Manager's primary focus is servicing Sale bookings. This position acts as the liaison between Meeting Planners and the banquet hotel staff. Responsibilities to include: administering the Sales agreement, detailing all Food, Beverage and A/V needs, group billing, and final review. Event Planning Managers also are the on-site contacts and are responsible for the smooth execution of all events.

Responsibilities:

  • Prioritize work on a daily basis
  • Be pleasant and helpful with internal and external clients
  • Input account, booking and profile information into the Envision system within the designated time frame and adhere to all guidelines as set forth in the Envision Procedures and Standards
  • Work with clients on details for all catering events at hotel.
  • Complete Banquet Event Orders and Resumes for all group business for sales team.
  • Create Floor Plans for catering events in Social Tables.
  • Manage deposit schedule and invoices for groups to ensure payments are received and posted by deadline dates.
  • Work closely with Director of Accounting for all catering payments.
  • Work closely with banquets team to ensure all event details are communicated and executed according to client needs.
  • Attend weekly BEO meetings with Banquets team.
  • Day of, on-site contact for events at Lighthouse Cove Event Center.
  • Weekly sales meeting with entire Sales team
  • Create Post Convention Reports, merge corresponding thank you letters
  • To develop working relationships with hotel department heads and operational areas
  • Proof-read all correspondence for accuracy and readability

Qualifications:

  • Must be able to provide outstanding customer service to internal and external guests
  • Must be willing to "pitch-in" and help co-workers with their job duties and be a team player.
  • Must be able to work weekends.
  • Must have knowledge of departmental operations.
  • Must have knowledge of computers and training techniques.
  • Maintain a professional appearance and manner at all times.
  • Ability to exercise judgment in evaluating situations and in making sound decisions.
  • Must have strong interpersonal skills and cordial behavior
  • Flexible working hours
  • Able to lift at least 25 pounds
  • Excellent communication, organization, written and guest relations skills
  • Strong organizational, project management and detail orientation skills, with the ability to multi-task in order to meet a variety of deadlines
  • A true desire to satisfy the needs of others in a fast-paced environment.
  • Refined verbal and written communication skills
  • A minimum of 1-3 years of hotel event sales/event planning or comparable experience preferred
  • Proficient in Microsoft Word, Excel. Knowledge of Opera, and Envision preferred
  • Candidates should be extremely detail oriented, organized and be able to handle a fast paced environment.

  • Executes emergency procedures in accordance with hotel standards
  • Complies with required safety regulations and procedures
  • Attends appropriate hotel meetings and training sessions
  • Maintains cleanliness and excellent condition of equipment and work area
  • Complies with hotel standards, policies and rules
  • Remains current with hotel information and changes
  • Complies with hotel uniform and grooming standards

Job Types: Full-time, Part-time

Pay: $65, $70,000.00 per year
