About the Role

As our Payroll & Accounts Payable Specialist, you’ll be responsible for the day-to-day processing and administration of payroll and accounts payable across Tishman’s operating entities affiliated entities, representing approximately 100 employees in total.

Reporting to the Corporate Controller, you’ll run the end-to-end bi-weekly payroll cycle in ADP, process accounts payable across multiple platforms, administer payroll-related deductions and reporting, and support the monthly close with journal entries and account reconciliations.

This is a hands-on individual contributor role with no direct reports. We’re looking for someone who is comfortable personally handling the details, managing recurring deadlines, and taking ownership of getting payroll and payments processed accurately and on time.

What You’ll DoPayroll & Benefits· Process accurate, timely bi-weekly payroll in ADP across multiple companies and states, including regular, bonus, commission, off-cycle, and final payments.· Review payroll for accuracy, reconcile and fund each payroll, and manage related taxes, garnishments, deductions, and contributions.· Maintain employee payroll records and coordinate with Human Resources on new hires, terminations, compensation changes, tax elections, direct deposit, and benefits.· Process payroll for TVB, an affiliated family office entity.· Administer and reconcile payroll-related benefit deductions, including 401(k), medical, transit, and FSA/HSA.Accounts Payable· Process AP for multiple entities in Data Plus and Yardi, including invoice entry, coding, approvals, and payments by check, ACH, and wire.· Process employee expense reimbursements and maintain accurate vendor and W-9 records.· Respond to vendor inquiries and resolve payment issues and discrepancies.Reporting & Accounting· Prepare recurring payroll, benefit, and staff billing reports for Human Resources and Finance.· Prepare journal entries, bank and balance-sheet reconciliations, account analyses, and intercompany transactions in support of the monthly and year-end close.· Assist with internal financial reporting and budget-to-actual analysis.Tax & Compliance· Review and reconcile payroll tax filings and reporting, including Forms 941, state and local filings, and W-2s.· Coordinate year-end payroll close and assist with W-2 and 1099 preparation and filing.· Process recurring corporate license fees and coordinate annual professional fee filings.· Maintain compliance with applicable payroll tax, wage-and-hour, and reporting requirements.· Follow established internal controls and support internal and external audits with reconciliations and documentation.Systems & Process· Serve as the day-to-day resource for payroll and AP processes in ADP, Yardi, and Data Plus.· Maintain payroll and AP calendars and ensure processing and filing deadlines are met.· Identify opportunities to improve accuracy and efficiency through process improvements, automation, and technology.Collaboration· Work closely with Human Resources, the Corporate Controller, property accounting, and Finance to resolve payroll, AP, and accounting issues.· Participate in Finance team meetings and respond to day-to-day payroll and AP questions.What You’ll Bring

· Bachelor’s degree in accounting, finance, business, or a related field.

· 4 - 6 years of progressive payroll and accounts payable experience, preferably in a multi-company or multi-entity environment.

· Demonstrated proficiency with ADP for full-cycle payroll processing.

· Strong knowledge of multi-state payroll tax, wage-and-hour, and related compliance requirements (941, W-2, 1099-NEC/1096 via FIRE).

· Experience with accounts payable processing, invoice entry, payment processing, employee expense reimbursements, and vendor maintenance.

· Working knowledge of general ledger accounting, including journal entries, reconciliations, accruals, and month-end close.

· Proficiency in Microsoft Excel and the Microsoft Office Suite.

· Comfort using AI and emerging technology tools (generative AI, data analysis, and automation platforms) to improve accuracy and efficiency.

· Highly organized and detail-oriented, with the ability to manage multiple entities and deadlines independently, and strong written and verbal communication skills.

Compensation: The anticipated base salary range is $85,000 – $100,000. Actual compensation will depend on experience, qualifications, and other job-related factors.
